Position Summary

The Office Manager will provide administrative support to all OVG departments (concessions, catering) at the venue, as well as to the General Manager. Responsibilities include assisting with payroll, handling A/P and A/R, ensuring compliance in employee files, basic HR duties, scheduling, clerical tasks, and GL entries. The role also involves month-end closing, account reconciliations, profit reporting, safeguarding assets, and providing data and fiscal support across departments.

Given the small onsite office team (usually 2 FT employees), the Office Manager must be adept at multi-tasking, organizing, prioritizing, and assisting staff as needed. The role requires focus on critical and time-sensitive administrative duties, especially during seasonal and event-driven periods.

This position offers an hourly rate of $18.00-$21.00.

Responsibilities
  1. Provide administrative and accounting support, including weekly cash and sales report entry, A/P and A/R data entry, and event reporting.
  2. Assist with payroll: compile, process, verify timekeeping, ensure forms are complete, maintain deduction files.
  3. Support accounting functions: reconcile sales reports, oversee document coding, calculate commissions.
  4. Generate reports on event operations, including P&L, season reports, and sales summaries, and perform month-end closing and reconciliations.
  5. Monitor assets, conduct audits, reconcile bank deposits, inventory, payroll, A/P, and A/R activities.
  6. Prepare financial workbooks and supervise NFP and payroll reports by event.
  7. Handle clerical duties: copying, filing, correspondence, phone inquiries.
  8. Perform HR functions: maintain personnel files, assist with scheduling, job fairs, orientation, training logs, workers' comp claims, OSHA logs, unemployment claims, and employee relations.
  9. Report concerns related to accounting, HR, safety, policies, or disciplinary issues to management.
Qualifications
  • Bachelor’s degree in accounting, finance, or related field.
  • At least four years of progressive accounting experience.
  • Strong understanding of accounting principles and financial reporting.
  • Knowledge of payroll, tax issues, and employment law.
  • Proficiency with Windows, Microsoft Office, and HRIS systems; experience with Solomon, ADP, or Ceridian is a plus.
  • Attention to detail, accuracy, and reliability.
  • Ability to multi-task, work under pressure, and meet deadlines.
  • Excellent organizational, communication, and interpersonal skills.
  • Willingness to work extended hours, including evenings, weekends, and holidays as needed.
  • Ability to develop positive working relationships and maintain confidentiality and professionalism.
