Position Summary:
The Office Manager is responsible for managing and supporting all clinic employees by assisting and tracking time off requests, covering for staffing shortages, assisting with patient check-ins, auditing, reporting on a variety of areas, creating action plans for each department, customer service, clinic inventory management, cleaning and maintaining two organized clinics.
Essential Duties & Responsibilities:
- Travel between two clinics to ensure smooth operations
- Manage time off requests and approve timecards for hourly staff
- Training of Front Desk staff; work with MA Manager for MA training
- Proactively address team issues and provide coaching and additional support
- Ensure all staff members abide by company policies and procedures
- Host monthly staff meetings
- Adequately cover positions when short staffed
- Chiro MA
- Front Desk
- Pain MA
- Ability to create action plans for each department to address bottle necks and improve clinic efficiency and track progress with milestones
- Communication with departments, management, patients, and providers
- Cleaning, Organization, Ordering
- Customer Service
- Ability to report and audit on several facets of clinic operations:
- Appointment Count by provider
- No-Shows
- Appointment Cancellations
- New Patient On-boarding, Evaluations and Surveys
- Patient Scheduling
Minimum Experience & Qualifications:
- High School Diploma
- Associate degree in some healthcare field
- Proven customer service skills and ability to de-escalate
- Experience managing a team
- Basic computer skills
- Spanish speaking preferred
- Will be required to obtain a BLS (Basic Life Support) certification
Schedule:
- 8 hour shift
- Monday to Friday
- No weekends
Pay range: $57,500-$63,000 annually
