Job summary

Employees in positions allocated to this level work under directionto provide staff assistance for a major campus/universitydepartment. They function as an agent of the unit or organizationby performing highly specialized administrative support duties.In-depth knowledge of the organization, programs, policies, andprocedures of the unit is essential to the performance of theduties, along with the ability to use good judgment, the ability tooperate computer systems, using word processing, database, andsoftware packages, and to exercise discretion in handling sensitiveand confidential information.

Examples of Duties
  • relieves the designated member(s) of the unit staff of numerouspersonal contacts and determines an appropriate course ofaction;
  • reviews incoming mail for the designated member(s) of the unitstaff, selects and responds to items within the scope ofresponsibility;
  • keyboards documents containing confidential or sensitiveinformation; transcribes and/or records confidential or sensitiveinformation; independently composes and provides drafts ofcorrespondence, memos, and reports that represent the position(s)of the designated member(s) of the unit staff;
  • establishes and revises the calendar(s) of the designated member(s)of the unit staff, informing him/her/them of impendingengagements;
  • coordinates logistical arrangements relating to conferences andmeetings, and prepares necessary materials and travel for thedesignated member(s) of the unit staff;
  • establishes and maintains the confidential records and files of thedesignated member(s) of the unit staff;
  • maintains records of unit fiscal transactions involving a varietyof accounts and provides advice regarding the appropriateness ofrequested expenditures;
  • assists in the creation of publications for internal and externalaudiences (brochures, posters, letterhead, websites, social mediaaccounts, etc.);
  • attends meetings as a delegate for the designated member(s) of theunit staff when requested;
  • researches as requested and reports information which requires theevaluation of sources or the application of regulations andprocedures to specific cases;
  • establishes and maintains inventory records, conducting periodicchecks for inventory control purposes;
  • anticipates and responds to the detailed office support needs ofthe designated member(s) of the unit staff through the independentperformance of lower level duties or supervision of assignedstaff;
  • plans, organizes, assigns, and reviews the work of the unit'sadministrative support staff and participates in their selection,training, and evaluation; coordination of searches;
  • provides information to students regarding the major/minor program,such as the application process, scheduling classes, graduationrequirements, etc.;
  • performs duties listed in the lower level of this classificationseries;
  • performs other related duties as assigned.

Illinois Residency Requirement:

Pursuant to the StateUniversities Civil Service System, out-of-state candidates mustestablish Illinois residency within 180 calendar days of the startdate for this position.

About Civil Service Examination/Testing:

The Civil Serviceexamination for this classification is based on your applicationmaterials and responses to the supplemental questions. Noparticipation other than submission of application materials isrequired from applicants that qualify to take the exam. If you meetthe minimum required qualifications for this position, yourapplication will move forward for examination/testing in which youwill receive a score calculated based on your education andexperience, and your name will be placed on the active employmentregister by exam score. This score will be emailed to the emailaddress noted on your application. After the application deadline,the names within the top three scores will be referred to thedepartment for interview.
