Key Responsibilities
  • Oversee day-to-day office operations and act as the administrative liaison between the office and job sites
  • Process payroll for hourly and salaried staff; maintain accuracy and compliance
  • Manage contract documentation, subcontractor agreements, and project files
  • Prepare, review, and process change orders and other contractual paperwork
  • Maintain records of prevailing wage documentation for government projects
  • Handle job costing, invoicing, and pay applications
  • Utilize Excel to create, track, and report financial and project data
  • Organize vendor and subcontractor files, certificates of insurance, and lien releases
  • Support project managers with scheduling, document management, and permits
  • Coordinate onboarding paperwork and training documentation for new hires
  • Ensure smooth office function including supply ordering, mail, and phones
  • Collaborate with ownership on streamlining systems and improving workflows
Qualifications
  • Prior experience in office administration or management, ideally in a construction-related business
  • Proficiency in payroll systems and basic accounting practices
  • Solid understanding of construction contracts and compliance requirements
  • Advanced skills in Excel (pivot tables, formulas, data tracking)
  • Excellent time management and communication skills
  • Organized, detail-oriented, and capable of handling sensitive information confidentially
  • Self-starter who can work independently and support multiple departments
  • Familiarity with prevailing wage and government documentation is a major plus
  • Willingness to learn new systems and adapt to a growing business
