Groton School is seeking an office manager for our College Counseling Office. This individual will contribute to an engaging and inclusive school community.

Working closely with students, parents, and faculty, the office manager will be responsible for coordinating college visits and fairs, submitting application materials, organizing the annual College Counseling Kickoff, and managing the day-to-day operations of the College Office.

The office manager will also be responsible for updating the college counseling handbook, preparing reports and data when requested, and regularly updating our application platforms.

This is a full-time, 40-hour per week, 12-month per year position and comes with the same slate of benefits afforded to all full-time staff (including health, dental, and vision insurance, retirement savings, and paid time off).

This role will require some night and weekend responsibilities and does not include campus housing.

Job Responsibilities

The Office Manager of the College Counseling Office will be responsible for:

  • Managing day-to-day operations of the College Counseling Office
  • Working closely with students, parents, and colleges to address issues and concerns
  • Serving as the first point of contact for the Office by greeting visitors, answering phone calls, and assisting with questions
  • Drafting and sending weekly emails to each Form with important updates
  • Scheduling all college visitors and overseeing fall and spring visit programs, including fall mini fairs
  • Organizing and managing Fifth Form College Counseling Kickoff
  • Working with students to schedule interviews
  • Facilitating the editing of the college office handbook
  • Assisting students with SAT and ACT registration and data management, in addition to managing the billing for PSAT and ACT district tests
  • Assisting students with finalizing their Sixth Form schedules in collaboration with the Academic Office, their advisors, college counselors, and the Registrar
  • Ordering office supplies
  • Scheduling student meetings for Fourth, Fifth, and Sixth Formers
  • Facilitating Book Awards Program
  • Assisting Director of College Counseling with general projects and initiatives
  • Managing sensitive/confidential information with respect and dignity.
  • Updating and managing MaiaLearning - the Office’s online platform
  • Ensuring the accuracy of application materials and remaining cognizant that any student record errors may negatively impact a student’s chances for college admission

Qualifications

The ideal candidate will have:

  • A Bachelor’s degree in a related field
  • Experience working with adolescents, ideally in an academic environment
  • Excellent communication and interpersonal skills, and the ability to work with students, parents, and colleagues across departments
  • A desire to be an active member of the school community
  • A willingness to submit to a pre-employment background screening
