Hartford HealthCare Medical Group is one of the largest medical practices in New England with multiple locations throughout Connecticut and Rhode Island. Our team includes Medical Assistants, Physician Assistants, and more, offering primary care, urgent care, and over 30 specialties.

Job Description

The role is responsible for organizing and coordinating office operations, procedures, and resources to facilitate organizational effectiveness and efficiency. Provides day-to-day operational, technical, and problem-solving leadership on administrative matters including patient flow, office operations, customer service, health insurance, billing/coding, and EMR functionality. Supervises administrative and clinical staff and practice operations, including scheduling, workflow, service delivery, and employee performance.

  • Models efficient unit operation by scheduling work, resolving processing problems, collecting data to monitor progress, and managing workload.
  • Develops and maintains office and departmental budgets and KPIs.
  • Uses resources effectively to meet work group goals within budgets, recommending expenditures and reallocating resources as needed.
  • Implements and monitors departmental goals and objectives.
  • Analyzes needs and develops recommendations aligned with organizational strategy.
  • Ensures staff communicate courteously and professionally with patients.
  • Holds staff accountable for customer service standards and manages incidents appropriately.
  • Conducts employee performance appraisals and reviews.
  • Participates in hiring, onboarding, and ongoing staff training.
  • Handles employee performance issues and disciplinary actions, involving the Practice Director as needed.
  • Coaches staff for success in achieving objectives.
  • Maintains staff schedules, processes attendance, and manages time off to minimize disruptions.
  • Maintains positive customer service relationships and resolves conflicts.
  • Facilitates effective communication within the team and with management.
  • Promotes teamwork through timely communication with medical staff.
Qualifications
  • Bachelor's Degree and/or appropriate certification preferred.
  • Minimum 3 years’ experience in a medical/surgical practice.
  • Previous management or supervisory experience preferred.
  • Epic experience preferred.
  • Strong communication skills and leadership experience required.
  • Ability to identify opportunities for quality and productivity improvements.
  • Knowledge of age-specific patient needs (e.g., Pediatrics, Adolescents, Geriatrics) preferred.
