Office Manager / Admin Assistant for Wellness Center

About The Position

We are seeking a proactive, detail-oriented, and friendly professional to work in our Benicia location as an Office Manager and Administrative Assistant. This position is perfect for someone who enjoys wearing multiple hats, working both independently and collaboratively, and playing a key role in keeping a wellness-focused business running smoothly.

This position encompasses both front and back-office responsibilities and provides essential administrative support to the Executive Director and leadership team. Candidates must be highly organized, adaptable, and capable of balancing administrative efficiency with exceptional client care.

HOURS + LOCATION

  • Hours: Moderately flexible - approximately 20-25 hours per week to start, with the potential for full-time growth as business needs evolve. Availability for weekly Tuesday meetings is required, along with the flexibility to be on-call and respond to occasional office-related emergencies when needed.
  • Location: On-site at our downtown Benicia office. Some duties may also be performed remotely (dependent on working hours and following a probationary period).

RESPONSIBILITIES

  • Office Management:
    • Oversee daily office operations, ensuring the workspace is organized and functional.
    • Monitor and restock office and client supplies as needed.
    • Coordinate building maintenance and vendor services.
    • Serve as the primary point of contact for office-related inquiries.
    • Greet clients, ensuring a warm and welcoming experience.
    • Maintain a clean and inviting space for all visitors.
  • Administrative & Financial Support:
    • Process client payments, generate superbills, and address client billing issues.
    • Manage the client scholarship program and maintain accurate financial records.
    • Ensure accurate and confidential client records and documentation.
    • Provide backup support to the Client Coordinator as needed, including:
      • Answering client phone calls and responding to emails.
      • Handling inquiries about services and pricing.
      • Assisting clients with paperwork completion.
      • Scheduling client appointments and managing clinician calendars.
  • Executive Support:
    • Run internal reports and regularly update practice dashboards.
    • Keep CEO / leadership team apprised of practice metrics.
    • Schedule meetings and handle correspondence/communications on behalf of the CEO as needed.
  • Marketing & Outreach:
    • Assist with marketing initiatives, including outreach efforts, promotional materials, and events.
    • Help strengthen The Connective's presence and reputation within the Benicia community.

REQUIRED QUALIFICATIONS

  • Associate's or Bachelor's degree (or equivalent experience).
  • At least two years of administrative, executive, or office management experience.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar) and Zoom.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Ability to handle sensitive conversations with empathy, professionalism, and confidentiality.
  • Strong data entry and record-keeping skills with a high attention to detail.
  • Possesses a growth mindset and is open to feedback.
  • Excellent problem-solving and critical-thinking skills.
  • A team player who actively engages in team meetings and events.
  • Highly reliable and able to work independently without direct supervision.
  • A passion for wellness, mental health, or holistic care, with an understanding of our clinic's mission and shared values.

Preferred Qualifications

  • Previous experience working in a therapeutic setting / familiarity with mental health, holistic wellness, or medical office workflows.
  • Understanding of basic healthcare policies, HIPAA compliance, and insurance procedures.
  • Proficiency in administrative software, including:
    • ClickUp for task management and workflow tracking.
    • Airtable for organizing and maintaining client data, scheduling, or internal operations.
    • Electronic Health Record (EHR) systems (e.g., Jane, SimplePractice, Mindbody).

COMPENSATION: $22 - $26 per hour (dependent on experience).
