Overview
The Longmont Site Office Manager plays a pivotal role in ensuring the smooth operation of our Longmont facility. This position supports site leadership, facilitates employee engagement, and coordinates essential administrative and operational functions. The Office Manager is the face of the site for new hires, visitors, and executive guests, and serves as a key liaison across departments and with external partners.
Responsibilities
- Administrative & Operational Support
- Provide direct administrative support to the Longmont Site Leader.
- Monitor and order office supplies; manage associated budgets including AMEX-based purchases for site needs
- Facilitate conference room bookings and visitor cube assignments.
- Maintain and update digital signage across the site.
- Coordinate and scribe Longmont Site Leadership Team meetings.
- Employee Engagement & Communications
- Chair the Employee Engagement Committee and lead site-wide celebrations and all-hands meetings.
- Manage the Eat Well program, including weekly lunch coordination and wellness-related events.
- Maintain the Longmont Confluence site and ensure links to key resources are current.
- Maintain and update distribution lists for Longmont employees.
- Support the creation and distribution of the Longmont Site Newsletter in partnership with the Wellbeing Experience team
- New Hire & HR Support
- Greet and tour new hires; introduce local onboarding processes.
- Support Launch virtual orientation and process onboarding paperwork.
- Coordinate with HR on training sessions and recruiting events.
- Provide administrative support for Labor Condition Application (LCA) postings for the Legal Department.
- Executive & External Relations
- Serve as the primary point of contact for executive visits, including meal coordination and meeting logistics
- Act as the Company Gives Site Ambassador, coordinating volunteer opportunities and liaising with external agencies and recipients.
- Cross-Site Collaboration
- Maintain working relationships with Corporate Executive Assistants and site admins at other locations.
- Collaborate with Facilities, IT, HR, and Security teams to ensure site readiness and operational continuity.
Qualifications
- Experience in office management, executive support, or site coordination.
- Strong organizational and communication skills.
- Ability to manage multiple priorities and work cross-functionally.
- Experience coordinating events, onboarding, and volunteer programs is a plus.
