Catholic Charities of Southern Missouri is seeking an Office Manager to oversee daily operations, coordinate building activities, and support staff and visitors with warmth and professionalism.

The role requires 3–5 years of administrative experience and a valid driver’s license. Competitive hourly base pay and non-exempt status reflect the essential nature of the position within a mission-driven organization.

Qualifications

Responsibilities

  • Organize building-wide operations and procedures (i.e., supply management, budgeting, safety drills, activities/events, meetings, celebrations, etc.)
  • Collaborates with agency administrative leadership areas (HR, Facilities, Finance, Programs, etc.) to stay up to date on agency information and procedures.
  • Ensure building efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
  • Oversee day-to-day building activities as the main point of contact in the reception area, receiving volunteers and donors.
  • Provide administrative support for tasks such as answering phones, sorting mail, coordinating travel, taking and distributing meeting minutes, and preparing documents.
  • Collaborate with facilities to manage space/infrastructure planning (moves, additions, changes to workstations) and provide resources when requested.
  • Perform other related duties as assigned.
  • Manage end-to-end procurement for organizational and program supply orders.

Minimum Qualifications
Required:
  • High school diploma or equivalent.
  • 3-5 years of administrative and clerical experience.
  • This position requires a valid driver’s license, a reliable vehicle, and proof of insurance.
Preferred:
  • Associate degree in office administration or related field.
Physical:
  • Seeing: Must be able to read and follow instructions - 75-100%
  • Smell: Must be able to smell items such as smoke and gases etc. - 0-24%
  • Hearing: Must be able to hear to effectively communicate with clients, vendors, and coworkers - 75-100%
  • Sitting: Must be able to sit for long periods of time - 50-74%
  • Standing/Walking: Must be able to stand or move about worksite - 75-100%
  • Climbing/Stooping/Kneeling: Must be able to stoop or kneel, reach from ground level to overhead to pick up products, place items on upper shelves, in storage spaces, etc. Lift products over shoulders height. Climb stairs or ladders - 50-74%
  • Lifting/Pulling/Pushing: Must be able to lift and carry up to 30 pounds - 50-74%
