Job Overview
Our client, an electrical contractor, is seeking an experienced Office Manager to join their close-knit team in Elk Grove Village. The ideal candidate will be diligent, detail-oriented, and discreet, with a strong background in bookkeeping and accounting, preferably within the construction industry.
Primary Responsibilities and Duties
- Collaborate directly with the Owner and Controller on various tasks.
- Maintain financial accounts, enter transactions, reconcile statements, and monitor cash flow, including scheduling banking transfers.
- Prepare accounts receivable invoicing and progress billing for jobs.
- Analyze monthly financial statements and ensure accuracy of GL accounts.
- Manage insurance requirements, including audits and renewals, and track employee insurance eligibility.
- Maintain employment files and coordinate with the accountant for tax purposes.
- Calculate overhead costs for bidding and update company resources.
- Ensure company manuals and safety materials are current.
- Coordinate with the warehouse manager on material returns and credits.
Secondary Responsibilities
- Assist with office operations, including answering phones and greeting visitors.
- Update QuickBooks, manage accounts payable, and process weekly payments.
- Ensure accurate job hour tracking and assist with payroll processing.
- Maintain office organization, order supplies, and manage employee records.
- Support onboarding and employee benefit administration.
- Provide weekly job cost reports and manage expense tracking.
- Maintain filing systems for all office and project documents.
- Assist with contractor registrations and vendor credit applications.
Qualifications and Skills
- Advanced proficiency in Microsoft Office and QuickBooks, with experience in Contractor Edition preferred.
- Experience with payroll processing, ADP, and construction industry billing (AIA, lien waivers).
- Excellent communication, organization, and attention to detail.
- Reliable, trustworthy, and discreet.
- Ability to adapt quickly in a dynamic office environment.
- Outgoing, confident, and personable with a good sense of humor.
Other Requirements
Minimum of 3 years' experience in bookkeeping, administration, and office management.
