About This Role

Vogo is seeking a hands‑on, proactive Office Manager to oversee and elevate our day‑to‑day office operations while serving as a key ambassador for the company, both internally and externally. This role is a unique opportunity to help shape the culture and employee experience of our growing team while taking on meaningful responsibility that directly contributes to the success of the business.

This role spans office operations, executive support, recruiting coordination, onboarding, and employee experience, making it ideal for someone who enjoys variety, ownership, and impact in their work.

As a key member of our Dallas office, you will have a unique opportunity to help shape Vogo's employee experience, workplace culture, and operational foundation as we continue to grow.

This role reports directly to the Chief Operating Officer and is a full‑time in‑office position based in Dallas.

Role & Responsibilities
  • Create, implement, and continuously improve processes and procedures to ensure the office operates efficiently and effectively
  • Own the office budget and office‑related expenditures, while managing vendor relationships and contracts for office services, facilities, and supplies
  • Partner on planning and execution of company‑wide events, offsites, holiday celebrations, and social activities that strengthen culture and employee engagement
  • Maintain the overall look, feel, and functionality of the office, including:
    • Keeping the kitchen fully stocked, clean, and welcoming
    • Ensuring meeting rooms are organized and ready for use
    • Coordinating office improvements, upgrades, and design enhancements
  • Serve as the primary point of contact for building management, maintenance teams, and office‑related vendors
  • Monitor inventory and manage the ordering, receipt, distribution, and organization of office supplies, equipment, and deliveries
  • Act as the primary liaison with IT for office technology needs and serve as the first point of contact for day‑to‑day technical issues
  • Research, evaluate, and support the implementation of AI tools, automation initiatives, and process improvements that enhance office operations, employee experience, and overall business efficiency
  • Identify opportunities to leverage emerging technologies to streamline workflows, reduce manual effort, and improve the employee experience
Administrative Responsibilities
  • Provide administrative support to the CEO, CPO, and COO
  • Assist with calendar management, scheduling, and coordination across internal teams and external partners
  • Coordinate business travel arrangements and itineraries
  • Manage office visits from external partners, including scheduling, accommodations, and transportation logistics
  • Own, manage, and maintain the company’s out‑of‑office and holiday calendar to support visibility, planning, and team coverage
HR and Culture Responsibilities
  • Support onboarding and offboarding activities for employees, including:
    • Coordinating technology equipment and workspace setup
    • Managing building access, keycards, and parking arrangements
    • Preparing welcome gifts and first‑day schedules
  • Support recruiting efforts through interview scheduling, candidate coordination, and occasional initial candidate screening
  • Serve as a culture champion by coordinating employee birthdays, anniversaries, milestones, and celebrations
  • Build and manage an office social calendar that promotes engagement and team connection
Minimum Qualifications
  • 2 to 3 years of office management, executive support, operations, or related experience
  • High levels of discretion, professionalism, and integrity when handling confidential information
  • Previous experience working in a startup, small company, or scrappy environment where wearing multiple hats, solving problems independently, and adapting quickly is the norm.
  • Extremely proactive and self‑driven, with the ability to anticipate needs and solve problems before they arise
  • Technically savvy and comfortable working across a variety of software platforms, business tools, and emerging technologies
  • Demonstrated curiosity and interest in leveraging AI and automation tools to improve workflows and operational efficiency
  • Excellent written and verbal communication skills
  • Exceptional attention to detail and ability to manage multiple priorities in a fast‑paced environment
  • Strong interpersonal skills, sound judgment, and a service‑oriented mindset
  • Technically savvy and comfortable working across a variety of software platforms and business tools
  • Comfortable operating in an ambiguous and rapidly changing environment
