Location: Irvine, California (In-Office Role – No Remote Work Available)Work Hours: Monday-Friday, 8:00 AM to 4:30 PMSalary: $19.00/hr -$21.50/hr (Hourly – 37.5 hours/week)

What You’ll Do

As our Receptionist, you will be responsible for managing incoming calls, greeting visitors, and providing essential clerical support to keep our office running efficiently.

Responsibilities
  • Answer all incoming and in-house calls, directing them to the appropriate person.
  • Transfer calls and take messages as needed.
  • Greet and assist visitors, ensuring a professional and friendly first impression.
  • Open, sort, and distribute incoming mail and handle outgoing correspondence.
  • Order office supplies and maintain inventory levels.
  • Perform clerical duties as requested, including proofreading documents, preparing letters and labels, sorting checks, tearing down loss runs, stuffing envelopes, data entry, copying, and filing.
  • Provide additional administrative support to various departments as needed.
  • Perform other duties as assigned.
Qualifications

Must-Have Skills:

  • Strong customer service mindset and a professional demeanor.
  • Excellent oral and written communication skills, with a polished and professional phone presence.
  • Ability to handle multiple tasks and prioritize responsibilities effectively.
  • Experience managing a multi-line phone system with voicemail applications preferred.
  • Self-starter with strong organizational abilities.
  • Flexibility, initiative, and the ability to work independently with minimal supervision.
  • Team-oriented mindset with the ability to adapt in a dynamic office environment.
  • Reliable and predictable attendance within client service hours.
  • Strong attention to detail and the ability to maintain confidentiality.
  • Ability to clearly communicate verbally and in writing with both internal and external clients.
  • Be bilingual

Education and Experience:

  • High school diploma or equivalent required.
  • Previous experience in a customer service or administrative support role preferred.

Computer Skills:

  • Proficiency in Microsoft Office programs (Outlook, Word, Excel).
Physical Demands
  • Ability to sit for extended periods and use a computer.
  • Occasional lifting of office supplies or mail up to 15 pounds.
