Job description

Office Engineer, Airport Tenant Improvement Program

Location: San Francisco, CA

Industry: Aviation and Construction

Area of Specialty: Project Administration and Support / Airport Construction

Are you a highly organized and driven construction professional ready to take on a critical support role in a dynamic, high-security environment? Join our team and play an integral part in managing complex Tenant Improvement (TI) construction projects across a major international airport's operational facilities. This is a fast-paced role perfect for someone who thrives on process management, meticulous documentation, and coordinating diverse project stakeholders.

What You'll Do
  • Documentation Control: Own the creation, maintenance, and organization of all project files—both electronic and hard-copy. Ensure complete and accessible records for contracts, drawings, specifications, and critical correspondence.
  • Process Management: Lead the workflow for Requests for Information (RFIs) and Submittals, ensuring timely tracking, distribution, and review cycles between the contractor, design team, and program stakeholders.
  • Change Management Support: Assist the Project Manager by logging, tracking, and processing all aspects of potential and executed Change Orders (PCOs/CCOs).
  • Financial Administration: Review and process monthly contractor pay applications for accuracy and compliance with contract terms, ensuring proper backup documentation is provided.
  • Coordination & Communication: Serve as the central hub for project communication. Schedule meetings, prepare agendas, distribute detailed meeting minutes, and actively track outstanding action items across all project participants.
  • Closeout & Compliance: Coordinate the final project closeout phase, collecting essential documentation like warranties, O&M manuals, and as-builts.
  • Liaison: Coordinate site access, logistics, inspections, and permitting with operational teams, security, and various regulatory agencies to minimize disruption to the active airport environment.
What You'll Bring
  • Experience: 3-5 years of experience in an Office Engineer, Project Coordinator, Project Engineer, or similar administrative/technical role, preferably on commercial or infrastructure construction projects.
  • Education: A Bachelor's degree in Construction Management, Engineering, or a related field, or equivalent, proven professional experience.
  • Technical Proficiency: Expert knowledge of the Microsoft Office Suite (especially Excel) and proficiency with modern Construction Management Software (e.g., Procore, Prolog, e-Builder).
  • Construction Acumen: A solid understanding of construction processes, terminology, documentation (RFIs, Submittals), and contract administration. Experience in an operational, high-security, or airport environment is highly valued.
  • Soft Skills: Exceptional organizational skills, meticulous attention to detail, and a proven ability to manage multiple priorities simultaneously. Must have excellent professional communication skills (written and verbal).
  • Security Requirement: The ability to pass a stringent background check and obtain necessary airport security clearance.
