Position Overview

We are seeking a dedicated Office Coordinator / HR Administrator to join our HR Operations team. This role primarily focuses on day-to-day office and administrative support, serving as the main point of contact for office-related tasks in our Pittsburgh location. The successful candidate will have opportunities to grow within the HR domain under mentorship from our HR Business Partner - US.

Key Responsibilities
  1. Office Coordinator Support:
    • Serve as the primary contact for office management in Pittsburgh and support both Pittsburgh and Orlando offices.
    • Implement and monitor compliance with office use and safety policies.
    • Manage office equipment, repairs, and supplies.
    • Coordinate internal and external events, including weekly lunches and trade shows.
    • Collaborate with Security, IT, and management to improve office procedures.
    • Coordinate with building management and vendors, manage invoices, and oversee office maintenance.
    • Support visitor logistics and handle incoming calls for both locations.
    • Assist with employee celebration messages and organize employee events.
    • Support travel planning using Concur and manage related expenses.
  2. HR Administrative Duties:
    • Assist with recruitment activities, including interview scheduling and ATS data entry.
    • Maintain accurate employee records and facilitate onboarding processes.
    • Organize HR shared drive for better usability.
    • Support HR initiatives and communication efforts.
