Position Overview
We are seeking a dedicated Office Coordinator / HR Administrator to join our HR Operations team. This role primarily focuses on day-to-day office and administrative support, serving as the main point of contact for office-related tasks in our Pittsburgh location. The successful candidate will have opportunities to grow within the HR domain under mentorship from our HR Business Partner - US.
Key Responsibilities
- Office Coordinator Support:
- Serve as the primary contact for office management in Pittsburgh and support both Pittsburgh and Orlando offices.
- Implement and monitor compliance with office use and safety policies.
- Manage office equipment, repairs, and supplies.
- Coordinate internal and external events, including weekly lunches and trade shows.
- Collaborate with Security, IT, and management to improve office procedures.
- Coordinate with building management and vendors, manage invoices, and oversee office maintenance.
- Support visitor logistics and handle incoming calls for both locations.
- Assist with employee celebration messages and organize employee events.
- Support travel planning using Concur and manage related expenses.
- HR Administrative Duties:
- Assist with recruitment activities, including interview scheduling and ATS data entry.
- Maintain accurate employee records and facilitate onboarding processes.
- Organize HR shared drive for better usability.
- Support HR initiatives and communication efforts.

- Ensure smooth operation of offices and facilities.
