Job summary

Talentify is seeking an Office Coordinator to manage daily medical office workflow, handle insurance authorizations and referrals to maximize reimbursement, and communicate with patients, clinicians, and insurance representatives. Strong bilingual skills (Spanish/English) are preferred to put patients at ease.

Qualifications

  • High School diploma or GED.
  • Office Coordinator or similar role with a minimum of relevant two years’ work experience.
  • Demonstrated strong communication, organizational, and interpersonal skills.
  • Demonstrated ability to work well as a member of a team.
  • Demonstrated strong Computer skills.

Responsibilities

  • Acts as EMR Superuser/Subject matter expert for scheduling and documentation.

Position Summary

The Office Coordinator coordinates the daily activities of the medical office by coordinating office workflow. Processes and obtains all insurance authorizations and referrals to ensure reimbursement for all services rendered. Manage communication and inquiries from referral sources, clinicians, and patients, insurance representatives/case managers regarding insurance coverage, benefits, and authorizations. Communicating excellent bilingual skills for patients, professional and ancillary departments as needed. The ideal candidate will be caring, compassionate and be able to put the patients at ease using their excellent communication skills.


DUTIES AND RESPONSIBILITIES:


  • Greets all patients, family members, and fellow staff courteously and professionally.

  • Recording patient interview, history, and chief complaint, verifies insurance eligibility, and collects patient copays.

  • Scheduling appointments, answering incoming calls, and retrieving voicemails.

  • Scheduling diagnostic radiology tests and specialty tests.

  • Performs all department clerical functions including but not limited to answering phone calls, faxing, filing, copying, scanning, as well as discharge functions.

  • Manages office supplies and ensures stock is current, appropriate, and par levels maintained.

  • Maintains a clean and secure work area to protect patient privacy.

  • Helping assistant with clinical paperwork for providers

  • Recording patient interview, history, and chief complaint

  • Checking patients’ insurance eligibility

  • Performs other duties as assigned that affect the upkeep of patient charts and the flow of patient care.

  • Collect Copayments and balance at the end of the day

  • Performs all registration, admission, and discharge functions per policies

  • Maintains an in-depth expertise of and serve as a centralized resource for insurance referral and authorization requirements, keeping the clinic informed of changes.

  • Contacts insurance companies to obtain referrals and prior authorizations.

  • Assist Front Desk Coordinator I and II with operational issues. Serves as a Primary Front Desk Coordinator I and II Preceptor and Mentor. Assists with orientations and provides input to Manager for performance evaluations.

  • Oversees the daily activities of the front office.

  • Acts as an EMR Superuser/Subject matter expert regarding EMR system. Demonstrates thorough knowledge of the system and how to document and schedule appropriately.

  • Able to effectively de-escalate conflict independently, serves as a point of contact for service recovery

  • Takes insurance related telephone calls and provide callers with information on insurance specifics on benefits and policies.

  • Confers with clinical staff to obtain appropriate clinical documentation.

  • Provides accurate authorization and PCP referral documentation necessary to maximize reimbursement for services, including Surgical Services and Post-Operative Care.

  • Serves as the primary contact for insurance carriers, billing, and case management.

  • Interact professionally and courteously with ancillary departments and staff.

  • Maintain a clean and secure work area to protect patient privacy.


EDUCATION AND RELATED EXPERIENCE:

Required:


  • High School diploma or GED.

  • Office Coordinator or similar role with a minimum of relevant two years’ work experience.

  • Demonstrated strong communication, organizational, and interpersonal skills.

  • Demonstrated ability to work well as a member of a team.

  • Demonstrated strong Computer skills.


Preferred:


  • Previous experience as a Front Desk Coordinator I or II.

  • Medical Assistant

  • Previous experience in an ambulatory or specialty practice setting.

  • Bi-Lingual speaking, Spanish and English.
