Pape-Dawson Engineers is seeking an Office Coordinator to support daily office operations, logistics, and project assistance. You will greet visitors, manage supplies, prepare documents, and coordinate meetings and travel while maintaining confidentiality and a high level of professionalism.

The role requires strong MS Office skills, organization, and the ability to manage multiple priorities in a professional services environment. Occasional extended hours and travel may be required.

Qualifications

  • Requires high school diploma or equivalent; associate or bachelor’s preferred.
  • 3+ years of experience in office coordination or similar roles, preferably in professional services or AE/C/architecture environments.
  • Experience supporting office operations, project teams, or professional staff.
  • Permitting coordination experience preferred.
  • Proficient in Microsoft Office (Excel, Word, Outlook, Teams); ERP / document management / BI systems preferred.
  • Strong written and verbal communication and interpersonal skills.
  • Excellent organizational and time-management abilities with attention to detail and accuracy.
  • Ability to handle sensitive and confidential information.
  • Ability to take initiative and work independently with guidance as needed.
  • Customer-service oriented and dependable professional demeanor.
  • Week structure Monday–Friday with potential extended hours and travel as needed.

Responsibilities

  • Coordinate day-to-day office services, supplies, shared spaces, mail, and deliveries.
  • Greet visitors and manage inquiries with professional communication.
  • Maintain conference rooms and office areas, ensuring organization and stock.
  • Manage office supply inventory and coordinate orders/deliveries.
  • Coordinate shipments, deliveries, and engineering document handling.
  • Create and edit letters, reports, and other business documents.
  • Provide project and permitting coordination support for design teams.
  • Support project managers and senior leaders with documentation and setup requests.
  • Prepare meeting materials and coordinate catering for meetings/events.
  • Assist with travel arrangements, calendars, and scheduling as requested.
  • Assist with proposals and required documentation for new projects.

Job Description:OverviewThe Office Coordinator supports the effective day-to-day operation of the office by coordinating office services, resources, administrative activities, and project support needs.
