About this Role

Irby Construction Company, a Quanta Services company, is seeking a detail-oriented Office Clerk to provide general administrative and clerical support for office operations. This position assists with data entry, printing and filing, document preparation, basic correspondence, recordkeeping, scheduling, and other routine office activities while maintaining accuracy, professionalism, and timely follow-through.

The Office Clerk works closely with managers, employees, and support departments to help ensure office records, documents, and day-to-day administrative needs are organized and completed efficiently. The role requires strong attention to detail, basic computer proficiency, effective communication skills, and the ability to manage multiple routine tasks in a fast-paced environment.

What You'll Do
  • Provide general clerical and administrative support to office personnel, managers, and other assigned support functions.
  • Prepare, print, scan, copy, assemble, organize, and distribute forms, reports, correspondence, meeting materials, and other business documents as requested.
  • Organize and maintain electronic and paper files, ensuring records and documents are filed accurately and consistently.
  • Enter, update, and verify administrative information in company systems, spreadsheets, databases, or tracking logs.
  • Monitor shared email or assigned correspondence and provide basic email communication and follow-up with employees, customers, vendors, and internal departments as directed.
  • Answer, route, and document routine phone calls or messages and assist visitors or employees with general office inquiries as appropriate.
  • Support scheduling and coordination of meetings, appointments, conference rooms, training sessions, and other office activities as assigned.
  • Track requested forms, documents, approvals, signatures, or supporting information and follow up on outstanding items as directed.
  • Assist with preparing routine reports, spreadsheets, rosters, document packages, labels, mailings, and other administrative materials.
  • Maintain current office forms, templates, contact lists, supply records, and other reference materials.
  • Assist with office supply inventory, distribution, and routine requests to help ensure employees have necessary materials.
  • Maintain confidentiality and handle employee, customer, and company information with appropriate discretion and professionalism.
  • Perform other clerical duties and special projects as assigned.
What You'll Bring
  • High school diploma or equivalent required; additional coursework or training in business, administration, office technology, or a related field is preferred.
  • Prior clerical, administrative, customer service, or office experience preferred; entry-level candidates with strong organizational and computer skills may be considered.
  • Must be comfortable working on both Windows and Mac operating systems.
  • Basic proficiency with Windows, macOS, iOS/iPhone, and Microsoft Office applications, including Outlook, Word, and Excel, with the ability to quickly learn company document-management, ERP, or other administrative systems.
  • Ability to perform basic email correspondence, printing, scanning, copying, filing, document organization, scheduling, and data entry accurately and efficiently.
  • Strong attention to detail and organizational skills with the ability to maintain accurate records and follow established office processes.
  • Effective written and verbal communication skills and a professional, service-oriented approach when interacting with employees, customers, vendors, managers, and internal teams.
  • Ability to handle confidential or sensitive business information with discretion and sound judgment.
  • Ability to manage multiple tasks, prioritize requests, and meet deadlines in a fast-paced, team-oriented environment.
  • Administrative, clerical, records-management, or office-support experience is preferred but not required.
Location, Schedule & Work Authorization

This is an on-site position based in Quinlan, Texas. Standard business hours are expected, with schedule flexibility as operational needs require.
