Office Assistant- Hiawatha

Full Time Clerical Hiawatha, KS, US

SUMMARY

This position will be the first point of contact for the Hiawatha location and will handle the flow of people through the office. The Office Assistant will perform routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record keeping.

ESSENTIAL DUTIES AND RESPONSIBILITIES

(Includes the following and other duties may be assigned.)

Responsible for:

  • Greeting customers, employees, and visitors in a courteous manner when they enter the office responding promptly to customer needs, resolving questions, complaints and concerns immediately and meeting commitments.
  • Providing excellent customer service through professional communication skills with others.
  • Answering the telephone in a professional manner and assisting customers with sales, questions or complaints.
  • Processing customer payments, making deposits, and balancing the cash drawer daily.
  • Process incoming and outgoing mail.
  • Invoicing warehouse items sold at the location.
  • Operating the scale for inbound and outbound grain, fertilizer, and chemical including making transfer and stock addition entries.
  • Performing agronomy and logistics software tasks as requested.
  • Assisting with the freight billing process.
  • Assist all departments at the location when asked with any task or project.
  • Adherence to safety policies.
  • Promoting and adhering to the company Core Values of honesty, integrity & teamwork.
  • Adhering to cooperative credit policy.
  • Securing facilities and equipment when closing.
  • Promptly and regularly report to work and work overtime hours as needed.
  • Present a clean and professional appearance.
  • The employee is required to perform all other duties as directed.
SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE

This position requires a high school diploma; at least one year of office experience and/or training; or equivalent education and experience. Must have proficient computer skills and be willing to seek out and attend additional continuing education, seminars, classes or other job-related education requirements or opportunities.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, volume, and weights.

REASONING ABILITY

The ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Able to deal with problems with several concrete variables in standard situations. Must be able to think quickly and perform a mental assessment of workplace hazards, take appropriate precautions, and choose appropriate PPE as dictated by need, regulation and labeling.
