Job summary

Harmony United Psychiatric Care is seeking an Office Assistant to support outpatient clinic operations from our Winter Garden location. The role covers administrative duties, patient check-in/out, and coordination of calls and reminders.

You'll help maintain orderly spaces and ensure supplies are stocked, while conforming to HIPAA policies. The position offers full-time hours, competitive base compensation, and productivity and performance bonuses.

Qualifications

• AA degree required; Bachelor's degree preferred.
• At least three years in a health care setting, preferably outpatient.
• Experience in office administration and patient check-in/out processes.

Responsibilities

• Greet patients, check them in/out and direct to departments.
• Accept inbound calls and make outbound calls to patients.
• Maintain cleanliness and organization of office spaces and waiting areas.
• Monitor and replenish office supplies and forms; coordinate maintenance of equipment.
• Communicate appointment reminders and test results to patients.
• Adhere to HIPAA and clinic policies in all activities.

Harmony United Psychiatric Care is part of Harmony United Florida, LLC. We are a network of outpatient mental health clinics. We provide comprehensive, full-service outpatient mental health services in Florida through in-person and virtual visits through a secure online telehealth platform. Our services include Psychiatric/Psychological Evaluations, Medication Management, Psychotherapy & Counseling, and Neuropsychological Testing Services. Our team of mental health professionals includes psychiatrists, clinical psychologists/neuropsychologists, board-certified psychiatric nurse practitioners, certified physician assistants, and licensed therapists. Qualification

• Candidate should have at least an associate degree (AA)

Responsibilities

• Giving coverage in time of need to offices in Central Florida with base location at Winter Garden office.
• Greet patients, check them in/out, and direct them to appropriate departments or waiting areas
• Accepting in bound calls and making outbound calls to the patients
• Ensure the cleanliness and organization of office spaces and waiting areas
• Monitor and replenish office supplies and medical forms, coordinate maintenance and repair of office equipment
• Assist in communicating appointment reminders, test results, and other pertinent information to patients
• Adhere to clinic policies, procedures, and regulatory requirements (e.g., HIPAA) in all administrative activities

Work Schedule

• Four 10hrs shifts per week (Monday - Thursday)
