Job description

Position Summary

We have an exciting opportunity to join our team as a Office Assistant - Ambulatory Multi‑Specialty - Bethpage.

In this role, the successful candidate is responsible for providing basic front‑desk support for clinical intake operations and may handle pre‑authorizations and certifications with the exception of surgical procedures.

Job Responsibilities
  • Performs other duties as assigned.
  • Provides reception assistance (e.g., greet patients, answer calls, direct requests to the proper individual). Screens telephone callers in a pleasant and professional manner; handles calls; takes messages or directs caller to the appropriate person or area. Schedules routine appointments and follow‑ups for visits and procedures that do not require or have already been pre‑authorized. Refers all inquiries regarding pre‑authorizations/certifications to the appropriate person. Responsible for collecting and completing any patient‑related documents, assisting patients in enrolling in Patient Secure if necessary. Confirms patient appointments daily and notates the system accordingly. Maintains the schedule to ensure no gaps.
  • Responsible for patient check‑in and check‑out. Gathers all patient demographic data and materials from patients and/or their representatives. Obtains insurance information, verifies eligibility electronically, takes a picture and asks the patient to use Patient Secure. On subsequent visits, verifies data and makes edits as needed. Collects and has patients sign documents such as HIPAA, MSPQ, ABN, etc. Follows up with patients, representatives, and physician offices to obtain missing data and materials, or refers to more senior staff.
  • Collects co‑pays and any other balances owed to the institution. Scans necessary documents (insurance cards, lab requisitions, etc.) into the intake system. Monitors the intake work queue for timely completion.
  • Ensures appropriate procedure and diagnosis coding is used in the pre‑certification and verification process, questioning physicians as necessary to ensure accuracy and completeness of information.
  • Assists patients with insurance coverage questions and refers those needing counsel on financial matters to the appropriate business office contact based on established criteria.
  • Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff. Types routine materials such as forms, letters, envelopes, etc. Types materials neatly and accurately according to instructions.
  • Answers patient questions to ensure understanding and satisfaction, or refers them to more senior staff. Maintains confidentiality regarding privileged matters.
  • Maintains and receives files for the area. Keeps files organized and up to date to facilitate retrieval. Follows departmental procedures for filing, sorting, distributing documents, and forwarding forms to the correct destination. Faxes documents per procedures, maintains supplies and cleanliness of the space, restocks supplies as needed, and notifies the supervisor of any shortages.
  • May assist, guide, or train staff in completing intake‑related duties.
Minimum Qualifications
  • High School diploma or equivalent.
  • Excellent organizational, interpersonal, verbal, and written communication skills.
  • Strong customer service skills and the ability to complete multiple tasks efficiently while thriving in a team‑work environment.
  • Knowledge of Microsoft Office, database, and internet applications.
  • Light, accurate keyboarding skills.
Preferred Qualifications
  • Six months of physician practice office experience.
  • Knowledge of medical terminology.
  • Knowledge of EPIC Ambulatory.

Compensation

NYU Langone Health provides a salary range to comply with the New York State Law on Salary Transparency in Job Advertisements. The salary range for this role is $56,873.24 – $56,873.25 annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonus or incentive pay, differential pay, or other forms of compensation or benefits.
