Job description

Position Summary

We have an exciting opportunity to join our team as an Office Assistant – Ambulatory Multi‑Specialty – Bethpage.

In this role, the successful candidate is responsible for providing basic front‑desk support for clinical intake operations and may be responsible for pre‑authorizations and certifications, with the exception of surgical procedures.

Job Responsibilities
  • Performs other duties as assigned
  • Provides reception assistance (greet patients, answer calls, direct requests to proper individuals). Screens telephone callers pleasantly and professionally, handles calls, takes messages or directs callers to appropriate persons or areas. Schedules routine appointments and follow‑ups for visits and procedures that do not require or have already been pre‑authorized. Refers all inquiries regarding pre‑authorizations/certifications to the appropriate person. Responsible for collecting and completing any patient‑related documents. Assists patients in enrolling in Patient Secure if necessary.
  • Responsible for patient check‑in and check‑out. Gathers all patient demographic data and materials from patients or their representatives. Obtains insurance information (ID card, member group numbers, etc.), verifies eligibility electronically, takes pictures, and asks patients to use Patient Secure. On subsequent visits, verifies demographic info and makes necessary edits. Collects and asks patients to sign patient‑related documents including HIPAA, MSPQ, ABN, etc. Follows up with patients or their representatives, physician offices, etc. to gather missing data and materials to complete the intake process or refers to senior staff.
  • Responsible for collecting co‑pays and any other balances owed to the institution. Scans all necessary documents (insurance cards, lab requisitions, etc.) into the intake system. Monitors intake work queue for timely completion.
  • May be responsible for pre‑authorizations and certifications with the exception of surgical procedures. Ensures appropriate procedure and diagnosis coding is utilized in the pre‑certification and verification process and queries physicians, if appropriate, to ensure accuracy and completeness.
  • Assists patients who have questions regarding insurance coverage. Refers patients in need of counsel on financial matters based on established criteria to the appropriate business office contact.
  • Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff. Types routine materials, such as forms and letters, neatly, accurately and according to instructions.
  • Answers patient questions to ensure understanding and patient satisfaction or refers them to more senior staff. Maintains confidentiality on privileged matters.
  • Maintains and receives files for area. Keeps files organized and up‑to‑date for easy retrieval. Completes filing per departmental procedures. Sorts and distributes documents and forms. Logs materials with respect to time and date when applicable. Processes incoming and outgoing documents. Secures appropriate signatures and forwards documents to correct destinations. Maintains copies for files. Fax documents per procedures. Maintains supplies and cleanliness of space, restocks supplies as needed, and reports shortages.
  • May assist, provide guidance, and/or train staff with completing intake‑related duties.
Minimum Qualifications

High School diploma or equivalent. Excellent organizational, interpersonal, verbal, and written communication skills. Strong customer service skills and ability to complete multiple tasks efficiently while thriving in a team environment. Knowledge of Microsoft Office, database and internet applications. Light, accurate keyboarding skills.

Preferred Qualifications

6 months Physician practice office experience. Knowledge of medical terminology. Knowledge of EPIC Ambulatory.

Qualified candidates must be able to effectively communicate with all levels of the organization.

Salary

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $56,873.24 – $56,873.25 Annually. Actual salaries depend on experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses, differential pay, or other forms of compensation or benefits.
