Job summary

The Washington State Department of Corrections is seeking an Office Assistant 3 (OA3) for the Community Corrections Division in Walla Walla, WA. This full-time position supports staff with clerical tasks, file management, scheduling, and public contact in a 8:00 am–5:00 pm, Monday–Friday schedule.

Office Assistant 3 (OA3) – Community Corrections Division

Our agency is looking to fill a full-time, permanent Office Assistant 3 (OA3) vacancy within the Community Corrections Division. This position works for the Walla Walla Field Office located at 401 West Main Street, Walla Walla, WA 99362. Under general supervision from the Office Support Supervisor 2 (OSS2), this position performs file management and routine, advanced clerical support tasks for the unit. Work hours are Monday-Friday, 8:00 am to 5:00 pm.

Responsibilities

Provide Office Assistant services to Community Corrections Supervisor (CCS) and Community Corrections Officers (CCOs) for the Walla Walla Field Office for the purpose of assisting staff with paperwork, reports, schedules, and other day-to-day clerical work.

  • Greet and assist the public, visitors, and clients and refer to the appropriate staff.
  • Manage a multi-line phone system.
  • Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Manage and maintain electronic and physical files.
  • Process incoming/outgoing mail.
  • Other miscellaneous clerical duties such as preparing meeting agendas, scheduling, purchasing supplies, and managing building issues.
  • Other duties as assigned.
Required Qualifications
  • High school diploma or GED equivalent.
  • Six months of clerical experience that includes basic knowledge of Microsoft programs to include Word, Outlook, and Excel.
  • And must possess and maintain an unrestricted driver's license valid in the state of Washington.

Telework Details

This position may be allocated for telework up to one day each week. Employees must use a reliable internet or cellular hotspot service at an authorized location within the state of Washington. Employees with an approved telework agreement in place are expected to perform assigned duties in a safe manner, take proper care of all state-issued equipment, and maintain confidentiality.

You will be required to commute to a DOC facility or field office as business requires, which may include components of the onboarding and training process. Details will be provided before hire.
