Job description

Kinetic is looking for a friendly, organized, and detail-oriented Office Assistant to be the first point of contact for our office. In this role, you'll support the People + Purpose team with daily front desk responsibilities, greet guests, manage incoming calls, and assist with various office and administrative tasks to help keep things running smoothly. What You'll Do:

  • Greet all visitors with professionalism and warmth.
  • Offer beverages and guide visitors to the appropriate waiting areas or meeting rooms.
  • Prepare fresh coffee each morning and ensure water is available for guests.
  • Maintain overall office cleanliness and readiness for guests.
  • Conduct daily walkthroughs to ensure common areas are tidy and well-stocked.
  • Check and restock kitchen supplies daily, including coffee, condiments, cups, utensils, and other disposable items.
  • Perform bi-weekly fridge clean-outs to keep shared refrigerators clean and organized.
  • Restock both mini-fridges with bottled water regularly.
  • Inspect and tidy restrooms each morning.
  • Restock toilet paper and paper towels as needed.
  • Collect, sort, and distribute incoming mail and packages daily.
  • Make regular bank runs and outgoing mail shipments, including plans and documents.
  • Check the office printer each morning to ensure it’s stocked with paper and that extra paper is available nearby.
  • Answer all incoming calls promptly and courteously.
  • Transfer calls to the appropriate team members and relay messages accurately.
  • Provide support with phone systems as needed.
  • Maintain a clean and organized front desk area.
  • Assist with setting up lunch and refreshments for Lunch + Learns and other meetings.
  • Support internal event or meeting prep as needed.
  • Handle general administrative duties such as filing, answering phone calls, and managing correspondence.

What You Bring:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in business or a related field preferred.
  • Strong experience in administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
