Job description

Overview

The Pediatric Office and Volunteer Manager works under the Executive Director, Children’s Programs, to support pediatric staff with administrative tasks, event planning, fundraising, and program implementation related to hospice, palliative care, and bereavement support across Capital Caring Health service areas. This team member collaborates closely with the Director, Community and Volunteer Engagement, to support pediatric volunteer initiatives and other pediatric team members, such as the pediatric nurse clinical supervisor.

Location: Falls Church, VA

Hours: Monday-Friday, 8:00 am - 5:00 pm

COVID-19 vaccine required to be completed upon start.

Responsibilities

Job Responsibilities:

  1. Support all administrative duties for the pediatric team
  2. Perform receptionist duties, directing pediatric family phone calls to appropriate team members
  3. Manage and organize the Pediatric Team SharePoint and all Capital Caring Kids collateral
  4. Assist with the development and archiving of policies and procedures
  5. Assist with pediatric team budget management, supply orders, check requests, and patient care billing
  6. Identify pediatric donor and fundraiser opportunities and community partnerships
  7. Maintain relevant data and spreadsheets, including cost reports, patient reimbursements, and supply inventories
  8. Identify opportunities for administrative management improvements
  9. Collaborate with the Lead Pediatric Social Worker and communicate with the Executive Director, Children’s Programs, to support pediatric bereavement programs
  10. Provide logistical support for annual events such as Point of Hope Camp and Children’s Celebration
  11. Assist in maintaining the Capital Caring Kids bereavement program, including groups, workshops, and individual counseling
Qualifications

Supervisory Responsibilities

The Office and Volunteer Manager, Capital Caring Kids, will oversee administrative interns and volunteers.

Experience Requirements

2-5 years of experience in administrative or office management roles, with prior experience in community event planning and fundraising. Experience and knowledge related to death, dying, grief, and loss are preferred.

Education Requirements

Bachelor’s degree in business administration, communications, or a related field
