What You'll Do

  • As a Virtual Office Administrator, you'll play a critical role in keeping our operations efficient and organized. You'll work closely with our U.S. team to provide administrative, financial, and coordination support, helping us deliver excellent service to our clients.

Your Key Responsibilities Will Include

  • QuickBooks Management: Manage invoices, expenses, and reconciliations with a high level of accuracy.
  • General Admin Support: Schedule meetings, organize files, manage inboxes, and assist with documentation.
  • Client & Vendor Coordination: Communicate professionally via email and phone, helping to coordinate tasks and track progress.
  • Construction Software Support (Bonus): Assist in updating records or platforms (e.g., Buildertrend, Procore) if experienced.
  • Process Improvement: Identify and recommend ways to streamline workflows and improve organization.

What We're Looking For

We're seeking a virtual team member who is reliable, resourceful, and committed to excellence.

Required Qualifications

5+ years of administrative experience (remote or in-office)

Proficiency with QuickBooks Online (non-negotiable)

Strong organizational and communication skills

Excellent English, both written and verbal

Comfortable working full-time PST hours (California timezone)

Bonus Qualifications

Experience with construction software such as Buildertrend, CoConstruct, Procore, etc.

Familiarity with CRM platforms or project management tools

Previous experience supporting U.S.-based businesses
