Position Summary:
The operations team at Thrivent Charitable Impact & Investing serves as the first point of contact for donors and financial professionals through attentive and personalized service to spread joy and change lives. The team supports the work of the organization by keeping internal operations running efficiently and effectively, serving donors, financial representatives, organizations, grantees, staff, and the public. The Office Administrator role provides support to specific areas and functions, specializing in one or more operational areas or skill sets. The Ops Team works together to ensure that all areas are supported and performs cross training to flex with increases in volume. This role contributes to team outcomes through quality assurance, data entry, providing and supporting a seamless client experience and participating in collaborative initiatives and projects. This position must demonstrate strong technological skills with the ability to work collaboratively as part of a team and must demonstrate personal accountability while working independently. It is important that the person in this position have learning agility such that they can assess current practices, recommend improvements, shepherd the implementation of changes, learn and utilize technology tools, and overall, produce high-quality results.

Job Duties and Responsibilities

Service Operations:

  • Serves as a front-line resource, expertly answering and routing calls, emails, mail, and other inquiries, whether internal or external.
  • Presents the office in a gracious, welcoming, and professional manner whether in person or via phone, video, or written communication.
  • Assists donors, financial professionals, and organizations with inquiries including help with online access, account balance and activity questions, and questions about offerings and services.
  • Performs all tasks with attention to client outcomes and contributes to a seamless and meaningful client experience.
  • Promptly responds to inquiries or refers to appropriate subject expert.
  • Works effectively with other administrative colleagues to manage and complete operational and responsive tasks to appropriate timetables.
  • Contributes to core operational functions including establishing accounts, routing incoming gifts, and maintaining records according to established policies and procedures.
  • Maintains financial professional, organization, donor, and account records in database.
  • Manages regular and recurring processes including reporting, mailings, data maintenance and responsive tasks.

Department Support:

  • Assists with maintenance, including quality controls and regular reviews of data created and/or used by supported department.
  • Participates in cross training to improve understanding of interconnectedness of systems and teams.
  • Understands policies, best practices, and brand standards and supports team in complying with them.
  • Reviews workflows and processes for efficiencies and serves as “go to” person for using current technology to assist in daily work of each team.
  • Develops and manages processes and procedures; able to identify process improvement opportunities, recommend changes, gain approval, and implement approved changes.
  • Uses project management skills, internal protocols, and software to manage workflows and to monitor progress of projects and cases.
  • Manages special projects and other duties as required and assigned.

QUALIFICATIONS & SKILLS:

Required:

  • 2-year Associate College degree or equivalent work experience.
  • Strong administrative and organizational skills in both physical and digital work environments.
  • Experience with professional communication via telephone, email, and printed letters.
  • Advanced computer skills with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, OneNote, and SharePoint (cloud version)).
  • Competence and self-assurance in learning and using existing and new technologies.
  • Demonstrates initiative, competence, and reliability.
  • Exhibits accuracy and timeliness in all areas of responsibility and assigned work.

  • This job works in the physical office in downtown Minneapolis.
  • Must be able to prioritize and manage work to deadlines and expected turnaround times, while communicating clearly about obstacles encountered.

The applicable salary or hourly wage range for this full-time role is $22.47 - $30.40 per hour, which factors in various geographic regions. The base pay actually offered will be determined by a variety of factors including, but not limited to, location, relevant experience, skills, and knowledge, business needs, market demand, and other factors Thrivent deems important.
