Position Description
The Office Administrator is accountable to the principal of the school to which assigned, and supports the vision of Messmer High School and the building principal. The Office Administrator will own daily building operations, with a special focus on student attendance, and support day-to-day needs in running the operations of the school.
Essential Responsibilities And Duties
- Serve as the point person for student attendance. Handle phone calls and emails and properly record changes in student attendance. Make phone calls to families as needed. Run daily attendance reports and identify trends in absences and tardies.
- Assist the principal, as needed, for scheduling and making phone calls.
- Manage late student pick ups, documentation, and communicate to the business office about billing.
- Assist with student registration.
- Manage field trips. Work with the Principal for approval of field trips. Meet with teachers to ensure the checklist is complete. Confirm with the business office about bus requests. Communicate to the kitchen with any lunch adjustments. Collect field trip permission forms and store. Place field trips on the school’s master calendar.
- Summer school liaison - manages the sign up sheet for enrollment.
- Help with student birthday celebrations. Update bulletin board, maintain monthly list and celebrations.
- Manage/receive money from parents, students, and staff and submit money to the business office. Follow all MCS money handling procedures.
- Organize and manage parent/teacher conference sign-ups
- Assists with management of all parent forms and ensures contact information is up-to-date
- Ensures teacher work room is clean and fully stocked
- Oversees organization and logistics of all school wide family events. Participates and is the main point person. (Main point person is Principal, but will work hand in hand with logistics)
- Other duties/tasks as assigned by Principal or designee
Minimum Qualifications
- Required Education Qualifications: High School Diploma or equivalent
- Preferred Qualifications: Post high school education such as Associate or Bachelor Degree. Ability to speak Spanish is preferred.
- Experience: Proven experience as an office manager or administrative assistant
- Skills:
- Ability to maintain confidentiality and work in a professional manner with a diverse population of children, families and adults
- Possess the ability to establish a rapport with children, parents, and other staff, while maintaining appropriate boundaries
- Excellent written, verbal communication, and listening skills with keen attention to detail
- Ability to communicate and work in multiple settings and environments
- Lifelong learner who is reflective and always looking to improve
- Proficiency in MS Office & Excel and Google platforms
- Attention to detail and problem solving skills
- Excellent time management skills and ability to multitask and prioritize work
- Strong organizational and planning skills in a fast-paced environment
- Must believe in Christian-based philosophy and principles and extend those to students and families
- Experience working in an urban school environment, including general knowledge of issues facing at-risk youth, is desired.
