Position: Office Administrator

Job Description:

The Office Administrator will play an integral role in the organizational strength of our company. The role involves providing administrative support to all managers, including clerical duties, filing, answering phone calls, responding to emails, assisting in driver training, and onboarding documents for inexperienced drivers. Qualified candidates should have strong multitasking abilities and a friendly demeanor.

Core Responsibilities & Duties:

  1. Analyze and organize office operations and procedures such as information management, filing systems, supply requisitions, and driver services.
  2. Oversee office staff functions, including supply levels, equipment maintenance, procedures manuals, forms, and staff cross-training.
  3. Maximize office productivity through proficient use of appropriate software applications.
  4. Establish uniform correspondence procedures and style practices.
  5. Create and maintain filing systems for warehouse records, scheduling information, consignee records, shipping/receiving records, and customer files.
  6. Maintain contact with customers, ensuring high levels of customer satisfaction.
  7. Complete other duties as requested, including working extended hours, nights, and weekends as needed.
  8. Perform other duties as assigned.

Qualifications:

  • Strong customer service skills with a focus on performance recognition.
  • Ability to establish credibility and be decisive, while supporting customer preferences and priorities.
  • Proficiency in planning, written, and verbal communications.
  • Strong technical skills, including Microsoft Word, PowerPoint, Excel 2007, and web-based applications.
  • Excellent interpersonal skills, both written and oral.
  • Ability to work independently, prioritize multiple objectives, and deliver quality outcomes in a fast-paced environment.
  • Experience in a transportation office environment is a plus.
  • Ability to make decisions and provide final recommendations affecting multiple departments.

Skills:

  • A 'can do' attitude with a strong work ethic.
  • Ability to work efficiently in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Experience with AS400 operating systems is a plus.
  • Knowledge and experience in the transportation industry is a plus.
