TITLE: Office Administrator
DIRECT HIRE

LOCATION: West Tawakoni/Quinlan, TX

ROLE DETAILS:
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Occasional weekend availability may be required based on business needs

Expected Hours: Minimum 40 hours per week

JOB DESCRIPTION:
The Office Administrator will play a vital role in supporting daily operations at a growing, family-owned RV dealership. This hands-on position handles title processing, bookkeeping, payroll, and dealership workflow. It is ideal for someone who is detail-oriented and experienced in dealership administration. This role has potential to grow into an Office Manager or Controller position.

KEY RESPONSIBILITIES:

Administrative Operations

  • Maintain compliance by submitting business licenses, taxes, and applicable fees (e.g., propane, VIT, battery fees)
  • Manage and file key operational documents (time records, vehicle deals, inventory changes)
  • Finalize vehicle deals and coordinate with sales for commission payouts
  • Process vehicle titles, payoffs, and registrations accurately and on time
  • Submit title paperwork to state agencies and ensure completeness and accuracy
  • Track and maintain logs for keys, title status, and warranty/contract submissions

Payroll & Accounting

  • Manage employee time tracking, attendance, and PTO requests
  • Process payroll, commissions, and chargebacks; maintain payroll and personnel records
  • Code and enter vendor invoices, schedule check runs, and resolve AP issues
  • Reconcile cash, credit card, and bank accounts; ensure daily deposits are accurate

Reporting & Support

  • Prepare monthly reconciliations and maintain financial tracking spreadsheets
  • Report on dealership performance metrics (KPIs)
  • Generate ad hoc reports for ownership or management
  • Provide general office support and assist with cross-functional administrative needs

JOB REQUIREMENTS:

  • 1–2+ years of title work experience (RV, boat, or motorcycle industries acceptable)
  • 1+ years of bookkeeping experience (QuickBooks or similar)
  • Experience processing payroll and commissions
  • Familiarity with DMS systems (Lightspeed DMS preferred)
  • High attention to detail, strong organizational skills, and process accuracy
