Job summary

Congruex is seeking an Office Administrator to support daily operations and coordinate administrative processes across multiple departments. You will manage documentation, onboarding, scheduling, and office logistics, contributing to the successful execution of large telecommunications projects.

You will work with internal teams, project managers, and external stakeholders, applying strong organization, communication, and problem-solving to keep projects on track.

Qualifications

  • 3+ years in office administration or related role.
  • Experience supporting project teams, onboarding, or admin operations preferred.

Responsibilities

  • Manage project-related documents, contracts, permits, and reports.
  • Coordinate schedules, meetings, travel, and calendars for team members.
  • Track timelines, milestones, and deliverables for projects.
  • Process invoices and track expenses; assist with billing.
  • Support onboarding, orientation scheduling, and workstation setup.
  • Maintain office inventory and workplace organization.
  • Additional responsibilities as needed within scope.

Job Summary:

As the Office Administrator, you will be responsible for supporting daily office operations, coordinating administrative processes, and ensuring organizational efficiency across multiple departments. You will manage documentation, scheduling, onboarding support, and office logistics while contributing to the successful execution of large-scale telecommunications projects. Your customers are internal teams, project managers, and external stakeholders, and you will make meaningful contributions through organization, communication, and operational support.

Key Responsibilities (Including, but not limited to):
  • Manage and maintain project-related documentation, contracts, permits, and reports
  • Coordinate schedules, meetings, travel arrangements, and calendars for team members and stakeholders
  • Support project teams by tracking timelines, milestones, and deliverables
  • Process invoices, track expenses, and assist with financial and billing support
  • Assist with new hire onboarding, orientation scheduling, and workstation setup
  • Maintain office inventory, supplies, and workplace organization
  • Additional responsibilities within functional scope based on business needs
Required Qualifications:

Education, Licensing, and Certifications

  • High School diploma or GED
  • Valid driver’s license preferred

Experience

  • Minimum 3+ years of office administration or related experience
  • Experience supporting project teams, onboarding, or administrative operations preferred

Skills and Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Strong attention to detail and problem-solving skills
  • Ability to prioritize work effectively in a fast-paced environment
Preferred Qualifications:
  • Experience supporting onboarding for new employees
  • Experience in telecommunications, construction, or project-based environments preferred
Physical Requirements:
  • Ability to sit, stand, and work in an office environment for extended periods
  • Ability to lift and carry up to 25 lbs.
  • Ability to operate standard office equipment
  • Must be able to pass a pre-employment background check and drug screen
