Job description

The Fairview Energy Center is among the world's most advanced natural gas combined cycle power plants. It features GE's Frame 7HA.02 Gas Turbines in conjunction with a GE Steam Turbine. In 2020, the facility received recognition as Power Magazine's Top U.S. Facility. Situated approximately 8 miles north of Johnstown and 87 miles east of Pittsburgh, the plant is nestled in the Laurel Highlands, known for its hardwood forests, pristine trout streams, and thriving whitetail deer population.

Opportunity Summary

The Administrative Supervisor supports site-wide administrative operations by overseeing daily activities, ensuring accurate record-keeping, efficient procurement, and compliance with NAES policies. Reporting to the Plant Manager, this role provides essential support in financial and operational reporting, employee functions, and coordination of HR tasks such as payroll, onboarding, and benefits administration. The Administrative Supervisor also helps maintain compliance in inventory control, audits, and Fitness for Duty requirements, contributing to smooth, organized site operations.

Your scope of responsibility as Administrative Supervisor includes the following primary functions:
Administrative
  • Direct and coordinate site administrative functions to support efficient and effective plant operations.
  • Administer site computer, telephone, cell phone, office system, and related administrative accounts.
  • Facilitate the effective utilization and administration of the computerized maintenance management system (CMMS).
  • Maintain plant administrative and business records, vendor information, and other required documentation, ensuring records are accurate, organized, and appropriately maintained.
  • Procure and maintain adequate office, facility, and other administrative supplies necessary to support plant operations.
  • Oversee the janitorial services provider and help ensure the Administration and Control Room buildings are maintained in a clean and professional condition.
  • Administer the site clothing allowance program and facilitate charitable contributions with the Plant Manager and outside organizations.
  • Fully support and participate in NAES Safety and Regulatory Compliance Programs.
Accounting
  • Administer purchasing and accounts payable activities, including reviewing purchase requisitions and purchase orders, tracking receipt of materials and invoices, verifying vendor statements, processing invoices for payment, and reconciling monthly credit card charges and statements.
  • Prepare and maintain accounts receivable, inventory, and other required financial and administrative reports.
  • Assist with preparation of the annual budget and monthly and annual reports, and help the Plant Manager monitor and track the site operating budget.
  • Process employee payroll and complete payroll reporting in accordance with Corporate Accounting procedures.
Human Resources
  • Partner with Corporate Human Resources to address employee-related matters and facilitate benefits administration, Fitness-for-Duty testing, and other HR requirements for plant personnel.
  • Prepare and maintain time and attendance records, employee status reports, and other required employee documentation while safeguarding the confidentiality of employee, payroll, financial, and other sensitive business information.
Additional human resources, administrative, and accounting functions as assigned by Plant Manager

Working Relationships

The Administrative Supervisor reports to the Plant Manager and may take general direction from other plant management. Additionally coordinates with all plant personnel relative to the accounting, Human Resources, and administrative processes.

Physical Requirements And Working Conditions

Work is primarily performed in an office environment. However, as the facility is a power plant, there may be occasions that require standing for extended periods of time, climbing stairs and ladders, and wearing protective equipment (such as hard hats, safety glasses, and hearing protection). On-site conditions may also necessitate work outdoors in varying weather, including both hot and cold temperatures. Please note that smoking restrictions apply in and around the facility.

Fitness for Duty

All personnel will participate in the Fitness for Duty Program, which includes a post-offer drug screening, and post-employment random drug screening.

Work Schedule

The Administrative Supervisor works a standard Monday to Friday day shift schedule. This position will occasionally necessitate extended working hours and flexible shifts as needed, including weekends and holidays, in response to schedules, workload demands, and plant conditions.

Some travel may be involved to participate in Manager, Owner, User Group, or other offsite meetings.

Compensation

This position offers an annual base salary ranging from $82,000 to $85,000 and includes eligibility for an annual performance bonus.

Professional Expertise & Qualifications
  • High school diploma or equivalent required; associate or bachelor’s degree in business administration, human resources, accounting, or a related field preferred.
  • Relevant experience in administrative, accounting, and human resources functions; experience in an industrial or plant environment preferred.
  • Working knowledge of payroll processing, benefits administration, and general HR practices.
  • Knowledge of general accounting practices, including accounts payable, account reconciliation, and financial reporting support.
  • Experience with purchasing, purchase orders, vendor coordination, and invoice processing.
  • Proficiency with Microsoft Office and computerized business systems; CMMS experience preferred.
  • Strong organizational, time-management, and attention-to-detail skills with the ability to manage multiple priorities.
  • Effective communication and interpersonal skills with the ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Must possess a valid, unrestricted U.S. driver’s license and ensure it remains in good standing at all times.
