Job Description:

Answer the phone and be the first point of contact for customers. Manage job files and coordinate the schedule between restoration crews, customers, and insurance companies. General office duties including organization, light cleaning, and stock management.

Responsibilities:
  • Monitor job file status and scheduling
  • Monitor and ensure client requirements are followed
  • Review and validate initial field documentation
  • Remain in contact with customers and clients
  • Daily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit process
  • Maintain internal and external communications
  • Perform job close-out
Qualifications:
  • Administrative or office-related experience and business experience preferred
  • Experience in the commercial cleaning and restoration or insurance/service industry is desired
  • Experience with writing estimates, job file processes, and quality assurance, a plus
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
  • Ability to remain calm and professional during tense or stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e. Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate and proprietary software
  • Minimum of HSD/GED
  • Ability to successfully complete a background check subject to applicable law
