Position Summary:

Zufall Health is seeking a detail-oriented and highly organized Part-Time Office Administrative Assistant to support the daily operations of our healthcare office. This role is essential in ensuring a smooth, efficient, and welcoming environment for both staff and patients. The ideal candidate is proactive, dependable, and thrives in a fast-paced, team-oriented setting.

Key Responsibilities:

  • Greet and assist visitors, patients, and staff in a professional and courteous manner
  • Answer and direct phone calls, take messages, and manage general correspondence
  • Support scheduling of appointments, meetings, and internal events
  • Maintain and update office files, databases, and records (both electronic and paper)
  • Assist with ordering office supplies and maintaining inventory
  • Coordinate incoming and outgoing mail and deliveries
  • Support administrative tasks such as copying, scanning, faxing, and data entry
  • Assist with onboarding documentation and administrative support for new hires
  • Collaborate with clinical and non-clinical staff to support site operations
  • Uphold patient confidentiality and adhere to HIPAA regulations
  • Perform other duties as assigned by the Office Manager or supervisor

Qualifications:

  • High school diploma or GED required; associate degree or higher preferred
  • Minimum 1–2 years of administrative or office experience, preferably in a healthcare setting
  • Bilingual (English/Spanish) strongly preferred
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with electronic health records (EHR) systems
  • Excellent communication, interpersonal, and organizational skills
  • Strong attention to detail and ability to multitask
  • Ability to work independently and as part of a team
