Job summary

Nippon Express USA, Philadelphia Branch in Sharon Hill, PA, is hiring an Ocean Operations Senior Operations Agent. The role seeks a dedicated team player with ocean freight forwarding experience and strong communication, organizational, and customer service skills.

Qualifications

  • 2+ years’ freight-forwarding experience in ocean cargo operations preferred.
  • Experience with ocean cargo documentation and processes.
  • Strong interpersonal, verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities under pressure.

Responsibilities

  • Identify, organize and coordinate customer shipping requirements.
  • Prepare ocean export and import documents and distribute to brokers.
  • Prepare invoices and AS-400 entries.
  • Coordinate pickup and delivery with steamship, trucking, rail, and warehouse partners.
  • Provide timely, professional customer service via phone and email.
  • Interface with Customs Brokerage for regulatory guidance.
  • Provide rates to internal and external customers; direct contact with customers.
  • Manage shipment coordination, tracking, and reporting.

Salary Pay Range:

Min$20.00 HourlyMax$25.00 Hourly

Responsibilities

Position Description

Our Philadelphia Branch in Sharon Hill, PA has an excellent opportunity for an Ocean Operations Senior Operations Agent.

We are looking for a dedicated team player for the ocean cargo department. The ideal candidate would have two or more years of work experience in ocean freight forwarding, but we are willing train a candidate with excellent communication, organizational, and customer service skills. Very good interpersonal skills, a positive, professional demeanor, attention to detail, and the ability to multi-task and handle quickly changing priorities are essential for success. The position will report to the Manager of the Philadelphia Ocean Department. Duties include but are not limited to the following:

  • Identify, organize and coordinate customer shipping requirements.
  • Accurately and efficiently prepare documents for ocean export shipments; and import documents for distribution to Brokerage Operations and/or customers’ Brokers.
  • Accurately and timely prepare invoices; and all required AS-400 database entries.
  • Effectively coordinate pickup and delivery orders with steamship, trucking, rail, and warehouse companies.
  • Provide professional, timely, and high-quality customer service through daily communication with customer via phone and email.
  • Communicate effectively with internal departments, other regional branches and offices, and all external contacts; Interact professionally with co-workers and others at all times.
  • Effectively interface and consult with the Customs Brokerage Department to obtain technical guidance for regulatory compliance purposes as required by agencies including the EAR and U.S. Customs.
  • Provide rates to internal and external customers, direct contact with customer.
  • Perform specific and assigned operations and administrative tasks to provide high quality customer service while meeting the Company’s goals.
  • Account management, shipment coordination and tracking, and reporting.
Qualifications
  • High school graduate or GED, or equivalency certificate, or significant relevant or appropriate working experience.
  • 2+ years’ freight-forwarding industry experience in ocean cargo operations preferred, but not mandatory
  • Experience in FCL / LCL Ocean Cargo logistics and documentation preferred, but not mandatory
  • Experience with steamship lines' Bill of Lading and INCO terms preferred, but not mandatory
  • Experience with Ocean accounting preferred, but not mandatory
  • Strong PC skills – MS Word, MS Excel, MS Outlook, MS SharePoint, AS400 knowledge
  • Strong interpersonal, verbal and written communications, customer service and teamwork skills, with professional, positive, and motivated demeanor
  • Commitment to the appropriate sense of urgency to complete assignments with accuracy and efficiency
  • Strong organizational skills with superior attention to details and follow-up
  • Able to multitask and effectively handle changing priorities under pressure
  • Ability to understand, develop and maintain multi-cultural relationships.
  • Patience – able to deal with complex processes that may involve multiple levels of approval
  • Must be available to work flexible scheduled hours and days depending upon customer demands.
