The Tort Litigation Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant who will provide administrative support work that involves disseminating information, preparing correspondence, and maintain filing systems.

The Tort Litigation Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant who will provide administrative support work that involves disseminating information, preparing correspondence, and maintain filing systems.

The OAG is a dynamic state agency with over 4,000 employees throughout the State of Texas. As the State’s law firm, the OAG provides exemplary legal representation in diverse areas of law. Essential Position Functions

Administrative Assistant II:

  • Prepares and disseminates information concerning agency programs, services, and procedures.
  • Prepares, edits, and distributes correspondence, reports, studies, forms, and documents.
  • Answers and routes phone calls; routes mail, files, and orders: and maintains office supplies.
  • Creates, maintains, and enters information into databases.
  • Compiles data for charts, graphs, databases, summaries, or reports.
  • Maintains scheduling and event calendars.
  • Coordinates and schedules travel and appointments for professional staff.
  • Maintains filing systems, including recording information, updating paperwork, or maintaining documents, records, correspondence, or other material.
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity

Administrative Assistant III: All of the above functions for an Administrative Assistant II, Plus:

  • May coordinate meetings and conferences.
  • May respond to basic inquiries and explain routine administrative rules, regulations, policies, or procedures.

Qualifications

MINIMUM QUALIFICATIONS

Administrative Assistant II

  • Education: Graduation from high school or equivalent
  • Experience: Two years of full-time clerical, general office, administrative support (or closely related) experience; may substitute bachelor’s degree from an accredited college or university on a year-for-year basis.
  • Knowledge of general office practices
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Skill in using computer for word-processing and data entry/retrieval
  • Ability to use Microsoft Word and Excel
  • Ability to receive and respond positively to constructive feedback
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to arrange for business-related travel
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG workspace within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to type 45 words per minute

Administrative Assistant III: All of the above qualifications for an Administrative Assistant II, Plus:

  • Experience: One additional year of full-time clerical experience

Preferred Qualifications

  • Experience: Four years of full-time clerical, general office, administrative support (or closely related) experience
  • Experience: Full-time administrative experience in a law office setting
  • Knowledge: Familiarity with the Tort Litigation Division’s administrative tasks
  • Skills: in using the OAG’s travel and leave software
