Job description

GENERAL DESCRIPTION
The Human Resources Division (HRD) of the Office of the Attorney General, a dynamic state agency with over 4000 employees, seeks an enthusiastic, resourceful, and hard-working individual for a part-time HR Assistant. The position assists with special records-management projects and other HR duties, including New Employee Onboarding. The HR Assistant will also assist with other administrative, human resources, and law-related matters. Note: This is a temporary, part-time position (up to 20 hours/week) that will end on or before 12/31/2025, with a possible extension.

ESSENTIAL POSITION FUNCTIONS

  • Performs records-management functions by completing tasks that include, but are not limited to: creating inventory lists, retrieving confidential and sensitive records (e.g., master personnel files, I-9 records); boxing files; preparing records for storage and disposition
  • Assists with information requests (e.g., subpoenas, discovery requests, requests under the Texas Public Information Act) by retrieving, assembling reviewing, photocopying, and delivering records
  • Assists HR Specialists with New Employee Onboarding (NEO) by performing tasks that include setting up NEO, greeting new employees, making photocopies, and inputting data as necessary
  • Assists with the e-Master Personnel File (eMPF) project by scanning documents, creating electronic master personnel files, electronically filing personnel actions (e.g. promotions, merit salary increases, reclassifications, transfers) into employees’ eMPFs; maintaining eMPFs
  • Assists the Human Resources Director, the Administrative Operations Manager, and other managers with special projects and tasks, including: Wellness Fair (October), inventory, general research, and division events
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity

MINIMUM QUALIFICATIONS

  • Education: Completion of at least 30 semester hours at an accredited college or university
  • Knowledge of Microsoft Office including Word, Excel, PowerPoint
  • Superior customer service and listening skills
  • Skill and ability to communicate well with people of all levels
  • Skill and ability to quickly handle multiple tasks, prioritize, and meet deadlines
  • Skill and ability to receive and respond positively to constructive feedback
  • Skill and ability to tolerate stress
  • Skill and ability to compose error-free emails
  • Skill and ability to work cooperatively with others in a professional office environment

  • Ability to work in-person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation to get to work and for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%

PREFERRED QUALIFICATIONS

  • Education: Currently pursuing a degree in pre-law, human resources, management, records management, business, psychology, political science, history, English, or a related field
  • Interest in pursuing a career in law, human resources, or records management
  • Ability to work on mornings when NEO takes place
  • Excellent writing skills with a continued interest in improving such skills
