This position will be responsible for assisting with the nutrition program service coordination, participant intake, nutrition education activities, record-keeping, and compliance with program guidelines. The assistant works closely with staff, volunteers, subcontractors, vendor, and clients to ensure efficient delivery of nutrition-related services. This position is part-time with an expected work load of 20 hours a week maximum. No hours are guaranteed, and hours may lower depending on the needs of the Aging Department.
Essential Duties and Responsibilities
- Assist with day-to-day coordination of congregate and home-delivered nutrition services, including schedules, meal counts, participant communications, and service follow-up.
- Complete participant intake and enrollment activities; gather required information, verify documentation, explain program services, and route referrals or concerns to appropriate staff.
- Maintain accurate participant files, service records, meal counts, waiting lists, attendance records, and other required program documentation in paper and electronic systems.
- Enter, review, and reconcile program data in a timely manner; identify missing or inconsistent information and coordinate corrections with appropriate staff or service providers.
- Support vendor and subcontractor coordination by maintaining current contact information, confirming schedules, collecting required documentation, and assisting with performance follow-up.
- Prepare routine reports, correspondence, forms, and summaries for program monitoring, billing support, audits, and management review.
- Follow applicable federal, state, and local program requirements; agency policies; food safety practices; confidentiality standards; and record-retention procedures.
- Assist with outreach, community events, volunteer coordination, training logistics, and other activities that promote access to nutrition services.
- Provide courteous, person-centered customer service and respond to questions within the scope of the position, referring complex matters to the appropriate staff member.
- Maintain the confidentiality and security of participant information and use agency systems, equipment, and resources appropriately.
- Perform other related duties as assigned to support program operations and organizational needs.
Minimum Qualifications
- High school diploma or equivalent required; additional education or training in human services, nutrition, public health, social services, business administration, or a related field is preferred.
- At least one year of administrative support, customer service, social services, food service, or community-program experience preferred.
- Experience working with older adults, individuals with disabilities, caregivers, volunteers, vendors, or community-based service programs is preferred.
- A valid driver's license and access to reliable transportation may be required when travel is necessary to perform assigned duties.

- Ability to perform basic calculations, review information for accuracy, and prepare routine reports.
- Ability to understand and apply program policies, eligibility requirements, confidentiality rules, and documentation standards.
- Sound judgment and the ability to recognize concerns that require prompt referral or supervisory guidance.
- Ability to work independently and collaboratively in a service-oriented environment.
