Job summary

YELM US Associates, LLC is seeking a Clinical Department Manager in The Bronx, NY to oversee administrative operations of the nursing department, ensuring compliant, timely documentation and workflow coordination. This non-clinical leadership role drives staff accountability and process improvements.

Reports to the Director of Patient Services; coordinates with field nurses, supervisors, HR, and leadership to maintain service excellence and regulatory readiness.

Qualifications

  • Education: Associate or Bachelor's degree in healthcare administration, Public Health, Human Services, or related field.
  • Experience: 2–3 years in home care with at least 1 year in a supervisory role.
  • Strong leadership and communication skills; ability to coordinate cross-functional teams.

Responsibilities

  • Oversee administrative and operational functions of the clinical department.
  • Monitor staff productivity, workload, and performance evaluations.
  • Coordinate communication among field nurses, clinical supervisors, intake HR, payroll and leadership.
  • Ensure regulatory deadlines and documentation accuracy.
  • Prepare weekly/monthly/quarterly operational reports.

The Clinical Department Manager is a non-clinical leadership position responsible for overseeing the administrative operations, workflow management, staff accountability, and regulatory support functions of the nursing department. This role ensures efficient coordination of clinical department processes, timely completion of documentation and regulatory requirements. The Clinical Department Manager does not perform clinical assessments, nursing supervision, patient care, or clinical determinations.

  • Primary Focus: Oversight of Clinical Department operations, workflow coordination, staff management, regulatory compliance monitoring, quality assurance activities, and administrative support functions to ensure efficient service delivery
Essential Responsibilities
Staff Supervision and Department Management
  • Supervise and manage administrative and operational functions of the clinical department
  • Monitor staff productivity, workload distribution, and completion of assigned responsibilities
  • Conduct performance evaluations, coaching sessions, corrective action discussions, and employee development activities
  • Ensure accountability for department expectations, deadlines, and agency policies
  • Foster a professional, collaborative work environment while addressing operational concerns and staff conflicts
  • Coordinate communication among field nurses, clinical supervisors, intake personnel, human resources, payroll, and agency leadership
Clinical Operations Oversight (Non-Clinical)
  • Oversee Clinical Department workflows to ensure timely completion of assessments, supervisory visits, care plan updates, and physician order processing by licensed clinical staff
  • Monitor assignment and scheduling of nursing visits to support continuity of patient care
  • Track completion of required documentation, per regulatory deadlines
  • Escalate clinical concerns, patient issues, and compliance risks to appropriate licensed clinical personnel
  • Support implementation of agency policies, procedures, and quality improvement initiatives
  • Ensure accurate maintenance of employee, patient, and operational records in accordance with confidentiality requirements
  • Prepare End-of-Week (EOW), monthly, quarterly and ad hoc operational reports for agency leadership
  • Assist with onboarding, orientation, and training of nursing department staff regarding agency workflows and operational procedures
Compliance & Quality Assurance
  • Monitor compliance with New York State LHCSA regulations, agency policies, and documentation requirements
  • Conduct routine audits of reports and workflow processes to identify deficiencies and trends
  • Track and report key performance indicators (KPIs) related to documentation timeliness, supervisory visit completion, assessment scheduling, and regulatory compliance
  • Assist with preparation for surveys, audits, and regulatory reviews
  • Ensure corrective action plans and follow-up activities are completed when operational issues are identified
Education & Experience
  • Education: Associate or Bachelor's degree in healthcare administration, Public Health, Human Services, or related field preferred
  • Experience: Minimum of 2 to 3 years of experience in home care, with at least 1 year in a supervisory role

  • Leadership: Strong ability to lead, mentor, and motivate non-medical support teams
  • Organization: Excellent time management skills to handle fast-paced daily workflows
  • Communication: Clear verbal and written communication for clients, families, and staff
  • Problem-Solving: Ability to handle operational challenges and client concerns calmly
  • Technology: Proficiency in home care software (HHA eXchange preferred), scheduling tools, and Microsoft Office
