Description: Greets patients and/or visitors and/or vendors and/or staff. Registers patients. Schedules office appointments and ascertains needs and directs accordingly. Ensures appropriate persons complete and receive proper forms. Directs or escorts patients to appropriate persons, departments, or clinical areas. Verifies and completes registration and checks in all patients in the electronic health record per practice guidelines. Ascertain necessary demographic and billing information according to Meaningful Use guidelines. Schedules office appointments per practice scheduling guidelines. Answers telephone calls to determine callers' needs. Handles questions, schedules or changes appointments, and directs callers to the appropriate party. Takes messages and distributes them to the appropriate party. Reports malfunctions of telephone equipment to the supervisor immediately. Requests and accepts cash, check, and credit card payments from patients at the time of visit. Reconciles daily copayment batches and prepares patient referrals for billing. Dispenses change to cash payment patients and prepares receipts. Contacts billing for immediate insurance verification for walk-ins or patients with a change in insurance status on file. Scans insurance cards and photo IDs into the electronic health record. Verifies Medicaid status by obtaining authorizations if necessary. Arranges for patient transportation when necessary. Follows established guidelines in contacting transportation companies to ensure timely patient transportation to and from the practice. Provides clerical support functions to other practice staff, including sorting and distributing incoming mail. Types or completes routine practice forms, records, and reports. Checks or verifies data on forms, records, reports, and correspondence. Follows up on incomplete data by contacting responsible parties. Assists in training new practice staff with the patient check-in process. Treats patients, co-workers, providers, and all visitors with respect and as guests. Demonstrates commitment to co-workers and maintains a safe and clean environment. Maintains the privacy of all patients and handles confidential information with discretion and sensitivity. Addresses all canceled appointments and follows up per practice policy. Responsible for all appointment scheduling located in the task list in the electronic health record. Ensures the task list is up to date and worked daily with accurate information capture. Types and sends letters for no-show, canceled, referred, and bumped appointments. Answers telephone calls promptly and efficiently. Delivers consult calls per consult policy and follows telephone etiquette guidelines. Performs other duties as assigned.
