Job Overview
The New Patient Scheduling Specialist plays a vital role in our success by engaging with warm leads via calls, texts, and emails. Their main responsibility is to schedule high-quality appointments, ensuring a seamless experience for all parties involved. Every interaction is an opportunity to attract new orthodontic or dental patients. The ideal candidate has a proactive "assume the sale" approach, aiming to meet and surpass goals while maintaining excellent service standards.
Responsibilities
- Conduct outbound calls to potential patients to generate interest and secure appointments.
- Follow up regularly with new and warm leads through calls, texts, and emails.
- Handle inbound inquiries from potential patients, providing information and support.
- Keep detailed notes on all leads for effective follow-up and tracking.
- Follow a structured daily workflow with minimal supervision to complete tasks efficiently.
- Manage multiple practice pipelines using HighLevel, nurturing leads per guidelines.
- Contact all new and warm leads daily to maximize conversions.
- Schedule appointments on the practice calendars, ensuring coordination with availability.
- Maintain professional relationships with primary contacts of each practice.
- Report daily on all scheduled appointments for accurate tracking.
- Escalate any issues or concerns encountered with accounts.
- Participate in daily team meetings, sharing insights and updates.
Minimum Requirements
- Proven experience in high-volume outbound calling or sales, preferably in healthcare.
- Excellent verbal and written communication skills in English and Spanish.
- Strong organizational skills to manage multiple leads and pipelines.
- Self-motivated with the ability to follow a structured workflow.
- Proficiency with CRM systems (especially HighLevel) and communication tools.
- Attention to detail for accurate record-keeping and follow-up.
- Commitment to delivering a high-quality customer experience.
- Problem-solving skills to address and escalate issues proactively.
- Effective time management to prioritize tasks and handle many leads daily.
- Ability to collaborate with team members and contribute to team success.

Schedule & Compensation
Schedule: 8 am- 5 pm CST, Monday to Friday, 8-hour shift
Compensation: $42,000-$50,000 base + commission (approx. $5,000/year), total OTE $47,500-$55,000. Full-time W2 position for domestic candidates only.
