Overview

A full‑time New Patient Coordinator will support the Revenue Cycle Department at Texas Oncology’s 1000 Coulter Drive clinic in Amarillo, Texas. The role involves account and insurance registration, scheduling of new patients for exams and procedures, maintaining patient records, and ensuring compliance with US Oncology’s policies.

What does the New Patient Coordinator do?

Under direct supervision, the coordinator is responsible for new patient coordination activities including account and insurance registration, scheduling, record maintenance, and problem resolution. The position follows standard procedures and pre‑established guidelines to support the US Oncology Compliance Program and shared values.

Responsibilities
  • Effectively oversee and manage the continuum of the new patient referral process.
  • Provide strong customer service as the clinic’s first point of contact.
  • Assess patient needs to prioritize and triage referrals.
  • Answer phone calls, take messages and respond to routine patient, physician, and client inquiries.
  • Follow up on missing medical records and test results from referring providers.
  • Obtain patient demographic, insurance, referral, and other pre‑visit information.
  • Verify and register patient accounts in the practice management system.
  • Facilitate insurance benefit and eligibility investigations.
  • Provide patients with appointment details and instructions.
  • Distribute appropriate medical forms for completion prior to initial visit.
  • Maintain and update physician schedules ensuring appropriate patient scheduling.
  • Work with the clinical team to accommodate scheduling requests.
  • Accurately document and update patient records in designated systems.
  • Provide support and information to providers for problem solving and administrative issue management.
  • Maintain strict confidentiality and adhere to all HIPAA guidelines.
  • Perform other duties as requested or assigned.
Qualifications
  • High school diploma or equivalent required.
  • Two (2) years of revenue cycle and/or patient access experience in healthcare preferred, or equivalent education and work experience.
  • Knowledge of multiple PMS and EHR platforms preferred.
  • Experience with Microsoft Office products (Outlook, Word, Teams, Excel) required.
  • Proficiency with medical terminology and insurance benefits and eligibility verification.
  • Must complete required onboarding courses and on‑demand training within 45 days of starting the position.

Physical Demands

Employee must be present during regularly scheduled business hours, sit or stand and talk or hear. Requires full range of body motion, including handling and lifting patients, manual and finger dexterity, eye‑hand coordination, standing and walking for extensive periods, and occasional lifting of up to 40 lbs. Corrected vision and hearing to normal range is required.

Work Environment

This is an onsite position. The work environment may include exposure to communicable diseases, toxic substances, ionizing radiation, medical preparations, and other conditions common to an oncology clinic. Work involves in‑person and virtual interaction with co‑workers, management, and clients. Minimal travel by air or automobile may be required.
