Job summary

Child Parent Institute (CPI) in Santa Rosa, CA seeks a School Office Coordinator for a temporary role Sept 2026–Nov 2026 with potential extension. Responsibilities include attendance tracking, office management, compliance, and providing admin support to the Principal.

***This is a temporary position from September 2026-November 2026 with potential to extend.***

The School Office Coordinator is responsible for duties that include attendance tracking, general office management, compliance, and administrative assistance to the Principal. The Coordinator will help to ensure that the school is in alignment with CPI’s mission, principles and that they are carried out in compliance with academic standards and grant/contract requirements. This position requires a strong attention to detail, collaboration with state and local academic institutions, community partners, and families, as well as the flexibility to support a special education school environment.

SCHEDULE
  • 205 work days per calendar year including professional development, Regular School Year (RSY), and Extended School Year (ESY). Follows the Santa Rosa City Schools Academic Calendar.
KNOWLEDGE, SKILLS AND EXPERIENCE

Requires excellent time-management, organizational and communication skills through problem-solving skills and attention to detail.

Demonstrates excellent interpersonal skills: cooperates and collaborates effectively, displays professional demeanor, promotes a cohesive, inclusive environment; able to work effectively with a wide range of personnel and clients in a diverse community.

Knowledge of and willingness to learn of current trends, innovations, practices and legal guidelines in mild-to-moderate special education.

Computer skills required: database input and management, word processing, excel, email, and internet search capabilities (Microsoft Office Suite, Google Suite).

Demonstrated experience with diverse and at-promise populations, and a desire to support students pursue their academic and social/emotional goals.

Must be 21 years of age

Bilingual and biliterate in Spanish is highly desirable.

ESSENTIAL FUNCTIONS

Collaborate with multiple school districts and staff to ensure Individual Service Agreements (ISA’s) reflect services being delivered by New Directions.

Work with both the education and therapy teams to prepare accurate monthly attendance reports to assist Fiscal Team with invoices to local school districts.

Ensure documentation, reports, data requests, completed training and all licensing regulations are in compliance with the California Department of Education (CDE), Special Education Local Area Plan (SELPA), Sonoma County Office of Education (SCOE) and all local school districts.

Ensures compliance with grants and contracts, such as the annual CDE renewal process, including the identification of relevant monitoring data and creation of data collection tools, forms, and databases.

Monitor and communicate the annual Individualized Education Program (IEP) calendar, including progress report deadlines, 30-day meeting reminders, and emailing out Parental Rights and Alternative Dispute Resolution (ADR) forms.

Collaborate with school districts on applicable matters, such as IEP compliance, obtaining signatures, coordination with transportation companies as per the IEP documents, and coordinating meeting times.

Facilitate monthly fire drills and correspond with the local alarm companies, law enforcement, and submit timely reports to the CDE.

Create and maintain contact lists and trackers, such as family and student email groups, transportation companies, addresses for mailers, etc.

Using an office phone or email, contacting families and students when students are absent from school.

Log, track and monitor device distribution to students for Chromebooks, etc.

Responsible for Shared Google Drive mapping and organization to ensure folders have up-to-date documents.

Answer phones, respond to voicemails, greet visitors, and general office duties as applicable.

Setup conference rooms, calendars, and meeting spaces as appropriate, for IEPs, training, and various gatherings.

EDUCATION

High school diploma or equivalent required.

Any coursework or training applicable to the position.

PHYSICAL REQUIREMENTS

Ability to lift 25 lbs (supplies)

Prolonged sitting and working on a computer and telephone.
