Studio & Business Coordinator

Nelson Byrd Woltz (NBW), an award-winning landscape architecture firm, is seeking a highly organized and detail-oriented Studio & Business Coordinator to support our executive team and financial operations. This entry-level position offers hands-on experience in studio coordination, executive support, and financial administration, ideal for someone interested in landscape architecture and small business operations.

Key Responsibilities
  1. Accounts Payable & Financial Administration (50%)
    • Manage vendor payments, maintain accounts, and oversee daily financial operations.
    • Reconcile credit card transactions, monitor online activity, and research discrepancies.
    • Process reimbursements, maintain contractor insurance and W-9 forms, and reconcile accounts.
    • Assist with benefit enrollments, invoices, and coordinate tax preparations.
    • Experience with accounts receivable and payroll is a plus.
  2. Executive Assistance (35%)
    • Support the Owner/Senior Principal with calendar management, meetings, emails, and travel.
    • Prepare documents, reports, and presentations.
    • Serve as a point of contact, maintaining professionalism and confidentiality.
    • Enter timesheets for Principals.
  3. Studio Coordination (15%)
    • Maintain office organization and cleanliness.
    • Manage office supplies and prepare morning coffee.
Qualifications
  • Bachelor’s degree in Business Administration, Accounting, or related field preferred.
  • Experience in administrative roles, with finance experience highly desirable.
  • Proficiency in Microsoft Office and accounting software; Ajera experience preferred.
  • Strong organizational skills, attention to detail, and professionalism.
  • Excellent communication skills and ability to handle confidential information.
