Job summary

AAA Facility Services is seeking a dependable Scheduling Coordinator to manage service work for out-of-state clients by onboarding qualified partners to execute work nationwide within client SLAs. This fast-paced role focuses on same-day emergencies, next-day calls, and time & material work.

Candidates should be comfortable making calls, sending emails, following up, and keeping multiple jobs moving simultaneously.

Qualifications

• Strong written and verbal communication skills.
• Comfortable making frequent phone calls to coordinate with partners and clients.
• Excellent follow-up skills and attention to detail.
• Ability to manage multiple open work orders and competing priorities.
• Resourceful and capable of finding solutions when partners are unavailable.

Responsibilities

• Identify and contact qualified service partners across the United States.
• Onboard new partners with required company information and pricing details.
• Coordinate SDE, ND, and T&M service requests from start to finish.
• Confirm availability, scope of work, pricing, and ETA with partners.
• Communicate pricing, proposals, and NTEs as required.
• Ensure work orders have correct details, site info, and client requirements.
• Follow up on arrival, status, findings, and documentation.
• Monitor open work orders and address outstanding items.
• Review completed work for notes, photos, invoices, and docs.
• Keep client portals and work order data current.
• Communicate status and next steps to clients, partners, and internal teams.
• Escalate issues or partner performance concerns when needed.
• Build and maintain relationships with service partners.
• Follow SOPs to ensure consistent, accurate handling of work.
