Our client is seeking a proactive Multi-Site Facilities Program Manager to coordinate day-to-day facilities needs across a national portfolio of office, retail, and medical-retail locations. This is a centralized, desk-based position focused on vendors, work orders, preventive maintenance, and client communication. It is not a hands-on maintenance or building-engineering role.
What you’ll do
- Manage a high volume of facility requests across approximately 400 locations, prioritizing issues and driving each request through completion.
- Coordinate break/fix services involving HVAC, plumbing, electrical, lighting, fire/life safety, access/security, appliances, and related facility needs.
- Work with landlords, property managers, contractors, technicians, and national or local service providers across multiple markets and time zones.
- Source, evaluate, and onboard vendors, with particular emphasis on HVAC and other preventive-maintenance services.
- Obtain and compare proposals, coordinate service agreements, review invoices, and monitor vendor performance.
- Serve as a primary client contact, providing timely updates, managing expectations, and escalating unresolved issues.
- Maintain accurate work-order, vendor, expense, and service records in the facilities-management system.
- Identify recurring issues and help build scalable workflows, reporting, and service standards as the department grows.
What we’re looking for
- Five or more years of experience in multi-site facilities operations, retail or healthcare facilities, property operations, vendor management, or a related service-coordination role.
- Demonstrated experience owning work orders, vendor dispatch, repair coordination, and follow-through across multiple locations.
- Working knowledge of commercial building systems, including HVAC, plumbing, electrical, lighting, fire/life safety, and access/security.
- Experience reviewing vendor proposals, invoices, scopes of work, and service documentation.
- Strong organization, initiative, judgment, and urgency in a high-volume environment.
- Professional communication skills and confidence working with clients, landlords, vendors, and internal leaders.
- Proficiency with Microsoft Office and experience with, or the ability to quickly learn, a CMMS or work-order platform.
- Ability to work full-time from the company’s Frisco office and occasionally coordinate urgent issues outside standard business hours.
Preferred experience
Experience with leased suites, retail or medical-retail portfolios, national vendor sourcing, HVAC preventive-maintenance programs, and platforms such as ServiceChannel, Corrigo, or FMX is helpful but not required.
