Job summary

Watermark Retirement Communities is seeking a Move-in Coordinator to manage the end-to-end move-in process for new residents, coordinating with families, movers, and internal teams. The role emphasizes exceptional customer service, organization, and clear communication to ensure a smooth transition into their new home.

The ideal candidate will be highly organized, compassionate, dependable, and capable of juggling multiple priorities.

Qualifications

  • Minimum 2 years in move-in coordination, hospitality, sales, or related field.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Comfortable communicating with families and professionals.
  • Ability to work independently while also collaborating effectively with a team.
  • Excellent computer skills in Word, Excel and online CRM systems.

Responsibilities

  • Coordinate the move-in process from signed residency agreement through move-in day.
  • Serve as a primary point of contact for new residents and their families throughout the transition process.
  • Communicate clearly and consistently with residents, family members, movers, vendors, and community staff.
  • Track required paperwork, forms, signatures, and other move-in requirements.
  • Coordinate with other departments to ensure a seamless transition.
  • Ensure all units are prepared and move-in ready prior to the resident's arrival.
  • Schedule and coordinate move-in dates, deliveries, movers, and other logistics.
  • Provide families with information and resources to help them prepare for the move.
  • Assist residents and families with questions or concerns throughout the move-in process.
  • Maintain accurate and timely information in applicable systems.
  • Conduct follow-up with new residents and families after move-in to ensure a positive transition.
  • Identify and communicate any issues that may impact the move-in timeline and work proactively to resolve them.
  • Support the Sales and Marketing team with tours, events, and other community initiatives as needed.
  • Maintain a high level of professionalism, confidentiality, and customer service at all times.

The ideal candidate for us will be able to coordinate the move in process and will take care of the details both large and small to welcome our residents to their new home. With a smooth transition we know our residents will be comfortable, happy and ready to thrive in their new home!

This is a full time, Tuesday through Saturday position which includes communication with prospective residents and their family members, moving companies, maintenance, housekeeping, organizers, and interior designers. You will take on the responsibility of being the point person for every move from start to finish working closely with the sales team and management.

What you will need to be considered for this position:

  • 2 + years in a move in coordination role, hospitality, sales, or a related field.
  • Sales background a plus
  • Excellent organizational and time-management skills
