Job description

Title: Mitigation Project Coordinator

Pay Range: $18.00 - $22.00/hour

Reports to: Emergency Services Department Manager / ESD Project Managers

Work Schedule: Monday-Friday 8am-5pm (this is not a remote position)

Position Overview

What does a Mitigation Project Coordinator at Paul Davis do? Professionally and compassionately help property owners put their lives together after a flood, fire, or other life-changing event. You will work alongside our Mitigation team to communicate with property owners, staff members, material providers, and subcontractors. Additionally, you will assist with project scheduling, follow-up, and managing paperwork flow. The Project Coordinator supports the Emergency Services Department by coordinating activities related to mitigation and contents projects, ensuring smooth project flow from start to finish through clear communication. This role involves managing multiple projects in a fast-paced environment, requiring high organization and adaptability.

Responsibilities:
  1. Organize and maintain project files (hard and soft copies)
  2. Schedule work and follow workflow progress via phone calls
  3. Demonstrate patience and compassion with customers
  4. Deliver necessary paperwork to customers, administrative department, and team
  5. Handle complaints professionally
  6. Assist with scheduling from initiation to completion
  7. Uphold Paul Davis principles of honesty and integrity
  8. Prepare or edit scopes of work, estimates, budgets, correspondence, and emails
  9. Communicate with property owners, managers, tenants, and insurance adjusters
  10. Act as liaison between customer and Project Managers to ensure project success
  11. Address questions and concerns throughout the project
  12. Support Project Managers with project needs
  13. Maintain awareness of all scope of work aspects to assist project execution
  14. Track project changes and update schedules accordingly
  15. Review project info and compile schedules promptly
  16. Monitor progress of projects and maintain up-to-date notes
  17. Submit required information to clients as directed
  18. Report issues to Project Managers
  19. Assist with reception duties as needed
  20. Ensure TPA compliance
  21. Attend Paul Davis training courses as required
  22. Perform other duties as assigned
Qualifications and Skills:
  1. High School Diploma or Post-Secondary education
  2. At least 3 years of office-based experience
  3. Typing speed of 40+ WPM
  4. Proficiency in Microsoft Office (Excel, Word, Outlook)
  5. Experience with office equipment (telephone, copier, scanner, fax, printer)
  6. Excellent written and verbal communication skills
  7. Ability to meet deadlines independently and in teams
  8. Integrity, honesty, and responsibility
  9. Highly organized with attention to detail
  10. Knowledge of Xactimate/XactAnalysis (not essential)
  11. Restoration or construction experience (not essential)
