Summary and Objective

Asthe Mission Support Assistant, you will play a key role in helping us deliverour mission by supporting operations, programs, and data processes withaccuracy and efficiency. You will help create a responsive, organizedenvironment that allows our mission and impact to thrive.

Essential Functions
  • Serve as a welcoming first point of contactwhile helping maintain a well‑organized and accessible office environment

  • Supportgeneral program coordination and organization events through supplycoordination, material preparation and printing, packing, and post‑eventmaterials handling
  • Supportprogram application and selections processes in alignment with establishedprogram timelines and procedures
  • Review and process scholarship payment and expensereimbursement requests to help ensure timely support for program participants
  • Keep data accurate and consistent acrosssystems by performing regular quality checks and updates
  • Order, organize, and maintain officesupplies
  • Preparereports for internal teams and external partners to support transparency andimpact
  • Assistthe broader team with special projects and emerging priorities as needed
  • Strongorganizational skills with the ability to manage multiple priorities
  • Attentionto detail, particularly with data entry and record accuracy
  • Comfortableusing common office technology and equipment (Microsoft 365, databases, basicreporting tools, copiers and postage meter)

Required Education and Experience
  • Anequivalent combination of education and relevant experience will beconsidered
  • Associate’sdegree in business administration, nonprofit operations, programming or relatedfield
  • Minimumof three (3) years of experience in operations, administrative support, nonprofit services, or office coordination
  • Proficiencyin MS Office, especially Word and Excel
  • Experiencemanaging records within databases or Customer Relationship Management(CRM) system
Supervisory Responsibility

This position has no direct or indirect supervision of other staff.

Physical Demands

While performing the duties of this job, and subject to request for reasonable accommodations, you would be required to constantly operate a computer and other office equipment as needed (i.e. phone, copier/scanner, postage meter, etc.). You must also be able to remain in a stationary position most of the day and to exchange information with internal and external constituents regularly. Occasionally, you may be required to move or position equipment weighing up to 20 pounds.

Position Type/Regular Hours of Work

This is a full‑time position at AFA’s primary office, and workdays and hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. You will be required to work evenings and weekends, though infrequently.

Travel

Travel is limited and primarily local during the business day, although some out‑of‑area and overnight travel associated with AFA programs or training is possible.
