Responsibilities

  • Establish department goals, service standards, and performance metrics with regular reporting.
  • Oversee day-to-day operations to ensure reliable service delivery.
  • Manage records and correspondence in compliance with company policies and regulations.
  • Advance workflow and imaging technologies to meet business needs.
  • Address operational issues through root cause analysis and continuous improvement.
  • Identify process, system, and workflow enhancements to improve experience and efficiency.
  • Lead initiatives to deliver projects within scope, budget, and schedule.
  • Develop and manage the department budget and vendor SLAs.
  • Foster cross-functional partnerships to align operational needs with objectives.

Job Title: Manager Operations Support

Location: Omaha, Nebraska

WoodmenLife is looking to hire a Manager Operations Support to join our team! In this role, you will provide leadership for mail operations, records management, imaging and indexing services, workflow services, and operations production support. Responsible for developing and sustaining a high-performing team through effective coaching, performance management, and employee development. Oversee service delivery, print operations, forms management, vendor relationships, and continuous process improvement initiatives. Ensures operational effectiveness, regulatory compliance, and high-quality service to internal and external customers

We are looking for someone to:
  • Lead, coach, and develop a high-performing team responsible for mail operations, records management, imaging and indexing services, workflow services, and operations production support.
  • Establish department goals, service standards, performance metrics, and reporting practices; monitor results and implement improvements to enhance service, quality, and efficiency.
  • Manage day-to-day operations of mail, records, imaging, indexing, workflow, inventory, and print services to ensure effective and reliable service delivery.
  • Manage records and correspondence in compliance with company policies and regulatory requirements.
  • Facilitate the effective use of workflow and imaging technologies to ensure operational effectiveness, system reliability, and alignment with business needs.
  • Resolve operational support issues through root cause analysis, corrective actions, risk mitigation, and continuous improvement practices.
  • Identify and implement process, system, and workflow enhancements that improve customer experience, operational efficiency, quality, and cost-effectiveness.
  • Lead operational support initiatives and projects to ensure successful delivery within approved scope, budget, timeline, and quality expectations.
  • Develop and manage the department budget and oversee vendor relationships, service-level agreements, and performance outcomes.
  • Build strong partnerships across business areas to understand operational needs, communicate performance results, and recommend solutions that support organizational objectives.
  • Foster a culture of accountability, collaboration, innovation, and continuous learning that supports employee engagement and operational excellence.
  • Ensure high-quality service delivery by monitoring customer needs, resolving service issues, and driving continuous improvement in operational performance.
We need someone who has:
  • Bachelor's degree preferred; equivalent experience will be considered.
  • 5+ years of demonstrated experience in operations, production support, or a related operational environment.
  • Experience in mail operations, records management, correspondence workflows, imaging and indexing, or similar operational functions.
  • Demonstrated experience leading, coaching, and developing employees and building high-performing teams.
  • Passion for delivering an exceptional customer experience.
  • Ability to adapt to changing priorities and business needs.
  • Experience managing vendor relationships and performance-level agreements.
  • Experience forecasting workload, managing resources, and administering expense budgets.
  • Strong critical thinking and problem-solving skills.
  • Experience leading projects, initiatives, and process improvement efforts.
  • Ability to establish performance metrics and drive accountability for results.
  • Ability to communicate effectively, both verbally and in writing, with customers, employees, and vendors.
  • Ability to build effective working relationships and collaborate across departments.
  • Proficient in the use of automation tools and business technology systems.
  • Experience supporting records retention and compliance related processes.
