Mental Health Intake Coordinator

About NY Mental Health Center (NYMHC) is a fast-growing mental health practice providing psychotherapy and psychiatry services to adults across NY, NJ & PA via telehealth. Position Overview

The Clinical Intake Coordinator plays a vital front-line administrative role at NYMHC. This position is ideal for someone who is training to become a therapist or who has a career aspiration to work in mental health.

As the first point of contact for new clients, the Intake Coordinator is a fast-paced, high-impact role that also ensures that individuals seeking care feel heard, understood, and confidently matched with the right provider. This role covers everything all of the administrative tasks that lead up to the first appointment and is essential to creating a smooth, supportive, and high-quality clinical experience.

Key Responsibilities

• Respond to incoming client inquiries across all channels (phone, email, website, referral partners)
• Schedule initial consultation calls and first appointments
• Conduct brief (10-15 minute) intake consultations to:
  • Understand presenting concerns and clinical needs
  • Determine appropriate level of care
  • Identify best-fit providers based on clinical expertise, availability, and client preferences
• Accurately enter client information into our EHR and billing systems
• Guide clients through onboarding requirements, including intake paperwork, consent forms and assessments
• Follow up to ensure all documentation is completed prior to the first appointment
• Address client questions, scheduling changes, and coordination needs with warmth and professionalism
• Collaborate with clinicians and administrative staff to ensure seamless handoffs
• Maintain clear, organized documentation and communication throughout the intake process

Qualifications

Required or In Progress

• BA/BS in Psychology, Human Services, Social Work, or a related field
• Desire to pursue a career in mental health or psychotherapy
• Excellent interpersonal, communication, and organizational skills
• Ability to engage warmly and professionally with individuals experiencing emotional distress
• Comfort with technology, EHR systems, and telehealth-based workflows

Preferred

• MA/MS in Mental Health Counseling, Social Work, or related field in progress
• Prior experience in a mental health, healthcare, or client-facing role
• Familiarity with intake processes, scheduling, or clinical environments
